What you will do:
The Service Project Specialist plays a critical role in planning, coordinating, and supporting HVAC equipment start-up activities from project kickoff through warranty follow-up. This position serves as a key liaison between internal teams, contractors, controls providers, technicians, and customers to help ensure projects are executed safely, efficiently, and in accordance with company and factory standards.
Responsibilities include, but are not limited to:
- Coordinate equipment start-up activities from initial planning through completion, including tracking equipment orders, confirming project scope, and aligning timelines with internal teams and external partners.
- Serve as the primary point of coordination among service teams, equipment teams, contractors, controls providers, technicians, and customers throughout the start-up process.
- Schedule and prioritize start-up activities to support timely project completion and efficient resource utilization.
- Conduct jobsite walks and site surveys to verify installation quality, system readiness, accessibility, and overall preparedness for start-up.
- Confirm that units are ready for start-up and ensure all start-up activities are performed in accordance with factory specifications, company standards, and internal processes.
- Identify installation, operational, controls, or factory-related issues early and collaborate with the appropriate teams to resolve them before, during, and after start-up.
- Navigate issue resolution at start-up, including determining responsibility, coordinating corrective actions, and securing proper approvals and documentation when required.
- Support equipment through the first-year warranty period by coordinating service needs, addressing start-up-related issues, and ensuring appropriate follow-up.
- Complete and maintain all required documentation accurately and on time, including start-up reports, commissioning records, warranty documentation, job records, and labor and material tracking.
- Coordinate and deliver owner/operator training and follow-up training to support proper system operation and customer understanding.
- Provide technical guidance and support to technicians and customers on assigned projects.
- Support the installation, commissioning, diagnosis, repair, modification, and start-up of HVAC systems using knowledge of air conditioning theory, piping, air distribution, controls, and mechanical layouts.
- Review drawings, plans, specifications, and building layouts to prepare for on-site work, anticipate challenges, and coordinate with other trades as needed.
- Assist with estimating service start-up costs, estimate development, and change order support by recommending solutions, facilitating quotes, and helping close orders.
- Support procurement activities by assisting with equipment and material sourcing through internal teams and local suppliers.
- Help plan and manage assigned projects to support completion on schedule and within budget.
- Supervise and coordinate the work of installation technicians, subcontractors, and vendors to help ensure quality execution.
- Participate in planning meetings and collaborate with internal teams to improve communication, documentation, workflow consistency, and overall project execution.
- Serve as a direct customer contact, maintaining strong communication with owners, subcontractors, and field personnel to support a high level of customer satisfaction.
- Maintain assigned inventory, tools, vehicles, equipment, and company assets, ensuring accountability, readiness, and proper documentation.
- Follow all site access, safety, and badging requirements while promoting a strong culture of safety and compliance.
- Identify and communicate sales leads or additional customer opportunities to the appropriate internal teams.
- Maintain current knowledge of HVAC technologies, controls systems, and related product applications.
- Operate rental equipment such as forklifts, scissor lifts, and boom lifts as needed.
- Travel regularly as required, including occasional overnight stays, and maintain flexibility to work overtime based on business needs.
What you will bring:
- A High School Diploma or equivalent required, and typically at least 2-5 years of experience in Commercial HVAC Installation. Technical School or formal training is preferred.
- Operating knowledge of Microsoft office software and working proficiency with handheld computer (i.e. Smartphone, iPad).
- State Contractor Licenses Preferred (e.g. HVAC Journeyman, Boiler Operator, Gas Installer etc.).
- Must possess a valid driver’s license for a minimum of 12 months, with no major or frequent traffic violations including, but not limited to: DUI, Hit & Run, License Suspension, Reckless / Careless Driving or multiple smaller infractions or preventable collisions in the previous 3 years.
- Flexibility to work overtime/weekends, as required.
