Executive Assistant
About the Role:
The Executive Assistant provides high-level administrative and operational support to the Entertainment2 Cluster Head in a fast-paced, high-pressure environment. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities, including calendar coordination, claims handling, and office administration. The individual will act as a key point of contact between internal teams, external stakeholders, and leadership.

The Executive Assistant provides high-level administrative and operational support to the Entertainment2 Cluster Head in a fast-paced, high-pressure environment. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities, including calendar coordination, claims handling, and office administration. The individual will act as a key point of contact between internal teams, external stakeholders, and leadership.
Key Responsibilities:
- Manage and maintain Cluster head’s calendar, including scheduling meetings, appointments, and travel plans
- Coordinate meetings end-to-end, including scheduling, logistics, venue booking, and resource arrangement
- Follow up on meetings, track action items, and ensure timely closure
- Handle claims processing, documentation, and follow-ups with accuracy and confidentiality
- Draft, review, and manage correspondence, reports, presentations, and internal documentation
- Arrange domestic and international travel (flights, accommodation, visas if applicable), prepare itineraries, and manage travel documentation
- Maintain systematic filing (physical and digital) of correspondence and records
- Manage vendor relationships, including coordination, negotiation support, and timely payments
- Act as a liaison between internal and external stakeholders
- Screen calls, emails, and requests, ensuring prioritization and timely responses
- Maintain confidentiality of sensitive information and documents
- Support in organizing internal events, leadership meetings, and offsites, if any
- Ensure adherence to timelines, processes, and organizational policies
Qualifications, Knowledge & Skills:
- Proficiency in MS Office Suite: Word, Excel, and PowerPoint
- Strong knowledge of office management systems and procedures
- Excellent written and verbal communication skills in English
- Strong organizational and time management abilities
- Ability to prepare reports, presentations, and business correspondence
