We are seeking a dedicated Administrative Assistant to support our operations team. As an essential member of our administrative group, you will play a key role in facilitating smooth office operations and enhancing client experiences. Your responsibilities will include managing client invoicing, coordinating communications, maintaining databases, and assisting with general administrative functions. With your excellent organizational skills, attention to detail, and ability to multitask, you will contribute significantly to our team's efficiency and effectiveness.

What you’ll do…

  • Prepare and process monthly client invoices 

  • Perform data entry across various systems, including in-house pension administration platforms and Excel worksheets

  • Compose and send written correspondence; arrange couriers and coordinate mail services

  • Create, proofread, and format reports, client materials, and PowerPoint presentations

  • Perform mail merges for mass client mailings and coordinate the print and mailing process, including outsourcing where necessary

  • Provide general administrative support (faxing, photocopying, scanning, filing, archiving, and ordering supplies)

  • Open, sort, and distribute mail

  • Maintain and update client databases; generate reports

  • Answer phones and provide exceptional customer service

  • Support other administrative assistants as needed

  • Assist with special projects and other administrative tasks as required

  • Ensure the office remains clean, organized, and well-maintained

You have…

  • Post-secondary education (Business or Office Administration diploma preferred)

  • 5 years of related administrative experience

  • Advanced proficiency in Microsoft 365 (Word, Excel, PowerPoint)

  • Experience with Adobe Acrobat/PDF functionality

  • Prior experience with enterprise or financial management software

  • Workday experience is a strong asset
