Senior Administrative Assistant
1. Calendar & Travel Management – Manage the VP’s calendar, appointments, business trips, and expense reports to ensure optimal time management.
2. Communication & Coordination – Act as a liaison between the VP, internal departments, and external stakeholders to ensure clear and timely communication.
3. Documentation & Reporting – Prepare and organize meeting materials, presentations, and executive reports in both English and French.
4. Meeting & Event Support – Organize executive meetings, client visits, and corporate events, providing on-site administrative assistance when required.
5. General Administration – Handle ad-hoc administrative tasks assigned by the VP, including translation, communication, and confidential document management.
Minimum of 3 years of experience as an Executive Assistant, Personal Assistant, or similar role, preferably within a multinational or corporate environment.
Languages:
• English: Fluent (spoken and written, business level)
• French: Upper-intermediate to advanced (B2 or above) — able to communicate confidently in meetings, emails, and professional interactions.
• Chinese (Mandarin): Knowledge of Chinese is a plus but not mandatory.
Skills:
• Excellent organizational, multitasking, and time management skills.
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
• Strong business writing and presentation preparation skills.
• High attention to detail and ability to work with discretion on confidential matters.
