Executive Secretary
Role Overview
We are seeking a proactive and highly organized Executive Secretary / Executive Assistant to provide comprehensive administrative and operational support to senior leadership. The ideal candidate should be capable of managing multiple priorities, coordinating with various stakeholders, and ensuring smooth day-to-day executive operations.
Key Responsibilities:
1. Calendar & Meeting Management
- Manage and maintain executive calendars, schedule meetings, and coordinate appointments.
- Organize internal and external meetings and ensure effective time management.
- Prepare meeting agendas and follow up on action items when required.
2. Travel Coordination
- Arrange domestic and international travel including flights, accommodations, transportation, and itineraries.
- Ensure smooth travel logistics and provide necessary travel documentation.
3. Coordination & Follow-ups
- Act as a point of contact between senior leadership and internal/external stakeholders.
- Track tasks and ensure timely follow-ups on key action items and deliverables.
4. Event & Meeting Support
- Assist in organizing leadership meetings, events, and conferences.
- Coordinate logistics, presentations, and required documentation.
5. Operational Support
- Provide administrative and operational assistance as needed.
- Support special projects and ad-hoc assignments assigned by leadership.
Qualifications
- 2 to 4 years of experience as an Executive Assistant, Executive Secretary, or Personal Assistant supporting senior leadership.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
