The Impact You’ll Make in this Role

As an Operations Coordinator for the Service Advantage organization, you will serve as a strategic operations partner, enabling executive effectiveness, operational rhythm, and cross‑regional alignment. This role is designed as an elevated coordination and execution function that ensures priorities move forward, decisions are well‑informed, and leadership outcomes are delivered with excellence.

You will collaborate closely with Executive Assistants and operational partners in the United States, acting as a connective thread between regions, leaders, and initiatives. Your impact will be felt through improved operational cadence, stronger governance, disciplined execution, and seamless leadership coordination.

Key Responsibilities

1. Executive Operations & Business Enablement

  • Act as a strategic partner to Service Advantage leadership by managing operational flow, priorities, and follow‑through across key initiatives.
  • Enable executive effectiveness by anticipating needs, preparing leaders for meetings, and ensuring clarity on objectives, inputs, and outcomes.
  • Coordinate leadership calendars, forums, and key touchpoints with a focus on business impact rather than logistics alone.
  • Serve as a trusted liaison between Costa Rica leadership, U.S.‑based Executive Assistants, and cross‑functional stakeholders to ensure alignment and continuity.
  • Represent leadership priorities when coordinating with internal teams, ensuring timely responses and resolution of critical matters.

2. Communication, Governance & Information Flow

  • Draft, synthesize, and refine executive‑level communications, presentations, agendas, and summaries aligned with Service Advantage priorities.
  • Translate complex discussions into clear action plans, decision logs, and executive summaries.
  • Establish and maintain governance artifacts such as operating cadences, action trackers, and leadership dashboards.
  • Ensure accurate documentation, confidentiality, and disciplined follow‑up on leadership commitments and decisions.
  • Support internal communications and engagement efforts by coordinating messaging, leadership updates, and organizational initiatives.

3. Strategic Coordination & Execution Management

  • Orchestrate planning, execution, and follow‑through for leadership meetings, operational reviews, and cross‑regional forums.
  • Track key initiatives, milestones, risks, and dependencies, escalating proactively to ensure commitments are met.
  • Partner with Finance, HR, Procurement, and Operations teams to support planning cycles, budget coordination, and resource alignment.

Your Skills and Expertise

Minimum Qualifications

  • Bachelor’s degree in Business Administration, Operations Management, Communications, or a related field.
  • Minimum 5+ years of experience in operations coordination, business management, program management, or executive support within a matrixed, global organization.
  • CEFR B2+ or higher in English (spoken and written).
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Teams).

  • Strong business acumen with the ability to connect operational activities to strategic outcomes.
  • Experience working across geographies and time zones, preferably with U.S.‑based leadership teams.
  • Exceptional organizational skills with the ability to manage multiple priorities in a fast‑paced environment.
  • Strong analytical, problem‑solving, and process improvement mindset.
  • Excellent written and verbal communication skills, capable of influencing and partnering at all organizational levels.
  • Proactive, resilient, and adaptable, with a continuous improvement orientation.

Hybrid / Remote – Costa Rica

Depending on business needs and role requirements, this position offers the opportunity to work in a hybrid or remote capacity. All remote arrangements are subject to manager approval to ensure alignment with business objectives.
