Responsibilities: Greet and welcome visitors in a professional and friendly manner Handle incoming mail, invoices and packages, including opening, registering, and distributing correspondence Scan and process incoming invoices (e.g., in SAP and SPOT systems) and file them appropriately Scan and send payment reminders Be responsible for the organization and coordination of conference rooms Maintain and manage the archive of invoices Copy and archive guarantees and certificates Scan legal contracts and forward them to the legal department Answer and direct national and international phone calls and e-mails Support the Office Management team with administrative and organizational tasks Assist with scheduling, meeting room coordination, and general office coordination
