Workplace & People Experience Coordinator

We're looking for a Workplace & People Experience Coordinator who thrives on variety, adapts quickly, and genuinely cares about making work better for everyone around them. This is a unique hybrid role (3 days per week in office) that sits at the intersection of People & Culture and Office Operations, making it a fantastic launchpad for someone eager to build a meaningful HR career while keeping our day-to-day environment running smoothly.

 Reporting to the Vice President, People & Culture, you'll be the go-to person for new hire experiences, employee engagement, health & safety, and the kind of office magic that makes people actually enjoy coming to work. You'll also provide direct support to our CEO and play a key role in forward-looking projects like our AI productivity initiatives. WHAT YOU'LL DO

GHGSat is looking for an excellent teammate who has shown success in prior roles. Your responsibilities span two core pillars:

 People & Culture

•        Onboarding Ownership:  Own the full onboarding journey for new hires — from offer acceptance through Day 90 — ensuring every new team member feels welcomed, informed, and set up for success.

•        Employee Engagement Lead:  Design and run employee engagement initiatives including recognition programs (peer and manager awards), themed challenges (e.g., step challenges, wellness months), team-building events, and seasonal celebrations.

•        Health & Safety Committee Chair:  Chair the Health & Safety Committee, coordinate inspections and training, maintain compliance documentation, and act as the primary point of contact for workplace safety matters.

•        AI & Innovation Projects:  Partner on cross-functional projects, with a near-term focus on our AI productivity initiative — researching tools, piloting solutions, and helping embed new workflows across the team.

•        People Projects:  Support ad hoc People & Culture projects as the company scales, from managing corporate wide Q&A coordination, to P&C meeting agenda & notes, policy updates to culture-building efforts — no two weeks will look the same.

•        Policy Review & Documentation:  Help the team with policy reviews on an ongoing basis, maintaining and organizing internal documents — including keeping our HRIS (BambooHR) clean and up to date, and ensuring key resources are easy for employees to find.

•        Recruitment Logistics:  Support recruiting efforts by reaching out to candidates, coordinating interview scheduling, and acting as a relay between interviewers and the hiring manager — keeping the process organized and communicative end to end.

•        Benefits Administration:  Support the administration of employee benefits — including answering employee questions, liaising with providers, and helping manage enrolment and related documentation.

 

Office Operations

•        CEO Administrative Support (25%):  Provide direct support to the CEO (approx. 25% of the role), including calendar management, travel bookings, expense reporting, and executive meeting coordination.

•        Office Management:  Ensure smooth day-to-day office operations, including supply management, facilities upkeep.

•        Event Coordination:  Plan and execute company events, team-building activities, and meetings — from venue booking and agenda preparation to on-the-day logistics. We have 4 main events per year (Holiday party, Oyster event, Family BBQ, Board meeting)

•        Lunch & Catering:  Coordinate lunch orders for meetings for C-suite, special events, and office-wide occasions, accommodating dietary preferences.

•        Vendor Management:  Manage relationships with office vendors and service providers including alarm services, catering companies, cleaning crews, and supply vendors.

•        Meeting Coordination:  You may be asked to schedule and facilitate internal and external meetings, prepare materials, and set up conference rooms or virtual platforms.

•        Executive Support:  Provide ad hoc support to other members of the executive team as needed.
