We are seeking a Workflow & Automation Lead to own the design, implementation, and continuous improvement of our internal workflows and operational systems. You'll be hands-on in building automations, enabling AI tools across the organization, and creating the operational infrastructure that allows a lean team to punch above its weight.

This is a systems-building role, not a project management role. You'll spend your time in the weeds: configuring no-code automation tools, integrating AI assistants into daily workflows, designing processes from scratch, and iterating relentlessly on how work gets done. Key Responsibilities

Workflow Design & Process Engineering

  • Design, document, and implement end-to-end workflows for core business operations—from client onboarding to project delivery to internal coordination.

  • Identify friction points and inefficiencies in existing processes; propose and implement improvements.

  • Create standardized operating procedures and playbooks that enable consistent execution across a distributed team.

  • Own the operational "how"—translating strategic priorities into repeatable systems.

Automation & Systems Building

  • Build and maintain automations using tools like Zapier, Relay, or similar platforms to eliminate repetitive manual work.

  • Configure and integrate business systems (CRM, project management and communication tools, websites, etc.) to create seamless data flows.

  • Set up automated reporting, notifications, and triggers that keep work moving without manual intervention.

  • Evaluate, select, and implement new tools that improve operational efficiency.

AI Enablement

  • Identify opportunities to embed AI tools (LLMs, copilots, agents) into team workflows to accelerate output and reduce toil.

  • Configure and customize AI assistants for specific use cases: drafting, research, data analysis, client communication, and internal operations.

  • Stay current on emerging AI capabilities and proactively pilot new tools that could benefit the organization.

Continuous Improvement

  • Establish metrics and feedback loops to measure operational efficiency and process effectiveness.

  • Conduct regular audits of workflows to identify improvement opportunities and technical debt.

  • Iterate on processes based on real-world feedback—knowing when to standardize and when to adapt.

  • Build a culture of operational excellence where the team actively contributes to improving how work gets done.

Operational Coordination

  • Maintain visibility into work across teams; ensure priorities are clear and nothing falls through the cracks.

  • Partner with team leads to understand workloads, identify bottlenecks, and proactively surface resource conflicts.

  • Create dashboards and status reports that give leadership clear visibility into operational health.

Requirements

  • 5+ years of experience in operations, IT, DevOps, process improvement, or other systems-focused roles, preferably in a professional services, consulting, or startup environment.

  • Bachelor's degree or equivalent work experience.

  • Demonstrated hands-on experience building automations using no-code/low-code tools (Zapier, Make, n8n, Power Automate, or similar).

  • Proficiency with AI tools (ChatGPT, Claude, Copilot, or similar) and a track record of integrating them into workflows.

  • Strong technical aptitude—comfortable working with APIs, webhooks, and connecting disparate systems.

  • Experience selecting, implementing, and configuring business software (project management, CRM, databases, communication tools).

  • Exceptional process thinking: ability to see end-to-end workflows, identify dependencies, and design elegant solutions.

  • Bias toward building over managing—you'd rather create a system than supervise one.

  • Strong documentation skills; able to create clear SOPs and process guides that others can follow.

  • Comfort working autonomously in ambiguous environments; you don't wait to be told what needs to happen.

  • Excellent communication skills with the ability to translate technical solutions for non-technical stakeholders.

  • Hybrid preferred for this role, based in Atlanta, open to remote candidates

  • In-person participation in quarterly team meetings/events in ATL and SFO

Preferred Qualifications (A plus, not a requirement)

  • Experience in a high-growth startup environment, with comfort navigating ambiguity and rapid change.

  • Background in business process improvement methodologies (Lean, Six Sigma, etc.).

  • Experience with databases and basic data management (Airtable, Notion databases, SQL basics).

  • Familiarity with the AEC industry or professional services operations.

  • Experience training others on new tools and processes.
