Warehouse and Distribution Specialist

Positions related to the logistics of pharmaceutical products, medical devices, raw materials, promotional materials, packaging materials, among others.

Their activities focus on logistics management across the following processes: receiving, storage, conditioning, picking, packing, inventory management, distribution, returns, among others.

Creation, maintenance, and training on policies and processes applicable to the logistics operation.

Manages and operates the organization’s warehouses or contracted service providers, ensuring efficient operations and compliance with company policies.

Activities

3PL Management and Service Level

• Manage 3PL performance to ensure OTIF compliance, leading the review of results, deviation root causes, and action plans.
• Lead periodic KPI meetings with the 3PL, agree on corrective/preventive actions, and follow up until closure.
• Manage operational incidents/issues with the 3PL (operational deviations, service risks, customer impacts) and escalate as needed.
• Coordinate returns and destructions with the 3PL and related internal areas.
• Lead the management and evacuation of short-dated or at-risk-of-destruction products, defining actions with the 3PL and internal stakeholders.

Process Compliance and Traceability (Outsourced Operations)

• Ensure proper execution of outsourced logistics processes: receiving, storage, conditioning, picking, packing, inventory management, distribution, and returns.
• Ensure proper SAP recording and traceability of logistics processes, enabling control and audit of movements to ensure inventory accuracy.
• Manage quality activities associated with operations (deviations, CAPAs, CCPs) to maintain compliance in storage, conditioning, and distribution.
• Support quality audits of distribution providers, managing evidence, findings, and remediation plans.
• Coordinate and follow up on cycle counts and discrepancy investigations with the 3PL, defining actions to prevent recurrence and improve inventory accuracy.

Costs, Procurement, and Budget Control

• Control spending versus budget for storage, conditioning, and distribution services, monitoring variances and managing cost-containment actions with the 3PL and stakeholders.
• Manage 3PL invoicing: validate supporting documentation, review invoices, and analyze variances to ensure budget adherence and contractual compliance.
• Create purchase orders in Ariba related to logistics services and follow up on their approval and execution cycle.

Compliance and Quality

• Manage quality-related activities associated with operations (deviations, CAPAs, CCPs), ensuring operational continuity and compliance in storage and distribution.
• Support quality audits of suppliers, managing evidence, findings, and agreed remediation plans.

EHS-S Responsibilities

• Comply with safety, health, and environmental regulations and instructions; report hazards, incidents, and accidents; participate in EHS-S training and objectives.

Pharmacovigilance Responsibility

• Report any known adverse event related to company products to Pharmacovigilance within a maximum of 24 hours.

Reporting and Cadence

• Prepare and maintain operational dashboards (including OTIF, inventory accuracy, and spend vs. budget) for monthly follow-up and regional review purposes.

Tools, Training, and Operational Continuity

• Control and monitor the use of data loggers, proposing process improvements.
• Participate in and complete company-required trainings and courses.
• Contribute to the area’s backup scheme and ensure operational continuity during absences.
• Maintain fluid, transparent, and timely communication with the direct supervisor.
