UX Tools Coordinator
Summary
We are seeking a UX Tools Coordinator to lead the end-to-end management, governance, and continuous improvement of internal tools that enable UX Design and Research teams to work efficiently. This role combines hands-on tooling administration with structured program coordination, ensuring tools are reliable, secure, scalable, and well adopted across the organization.
This is a highly operational and governance-focused role requiring direct administration of UX and research tools at the organizational level.
Enterprise experience strongly preferred.
Key Responsibilities
Program & Platform Coordination
- Drive the lifecycle of UX tools from discovery and requirements through implementation, adoption, and optimization
- Build and maintain a roadmap aligned with UX team needs, business priorities, and technical constraints
- Partner cross-functionally (Design, UX Research, Product, Engineering, IT, Security, Procurement, Legal) to define requirements, integrations, and success metrics
- Lead vendor evaluations, pilots, renewals, migrations, and SLA coordination
Operational Coordination
- Manage day-to-day UX tool administration, including:
- License management
- User provisioning and deprovisioning
- Permissions and org structure
- Renewals and access controls
- Serve as the primary point of contact for tool support, troubleshooting, and escalations
- Coordinate with IT and Security on SSO configuration, integrations, and compliance with data governance policies
- Monitor tool usage and drive adoption improvements
- Maintain documentation, training materials, and best practice guides
Governance & Enablement
- Own governance standards across the UX tools ecosystem (data hygiene, lifecycle management, compliance)
- Develop onboarding, training, and enablement programs for UX teams
- Maintain feedback loops and translate insights into operational improvements
Must-Have Qualifications
- 4–7 years in UX Operations, Research Operations, Design Operations, or similar coordination roles
- Proven hands-on administration and governance of UX tooling, including:
- Figma (admin level: permissions, licensing, org structure)
- UserTesting, User Interviews, Qualtrics, Respondent, Dscout
- Research repositories such as Dovetail or Optimal Workshop
- Experience managing licenses, provisioning, renewals, access controls, and tool lifecycle
- Strong process design, documentation, and requirements coordination skills
- Experience supporting cross-functional UX initiatives with measurable outcomes
- Solid understanding of SaaS governance, access controls, SSO, and compliance considerations
- Excellent stakeholder communication across Design, Product, Engineering, IT, and Security
Preferred Qualifications
- Experience leading tool evaluations, pilots, and migrations
- Experience supporting onboarding, enablement, and training for UX teams
