Training and Administration CoordinatorADMINISTRATIVE SUPPORT • Provide comprehensive administrative support to the onsite Facilities Management team • Maintain and organize JLL central files, information, data, reports, and documentation • Use and maintain online task systems, ensuring accurate data entry and system administration • Support facilities management team in scheduling and covering key roles • Assist in financial processes to ensure timely and accurate completion of all financial management requirementsTRAINING & DEVELOPMENT • Schedule and deliver training on client site-specific procedures, preparing materials and equipment as needed • Create, adjust, and delete training specifications and curriculum • Manage SMS training system including adding, deleting, scheduling, and completing trainings with JLL site team • Complete on-the-job training with staff members and maintain training trackers • Coordinate with supervisors across all areas to complete scheduled trainings and anticipate future requirementsHEALTH & SAFETY • Support maintenance of health and safety log books and documentation • Maintain full working knowledge of cleaning equipment, materials, and agents; report faulty equipment immediately • Follow emergency prevention and operational controls, coordinating daily and weekly schedules • Follow established escalation and incident reporting proceduresCOMPLIANCE & OPERATIONS • Maintain comprehensive knowledge of all JLL operational areas • Assist in reviewing, maintaining, and building Standard Operating Procedure manuals • Ensure compliance with all JLL policies, procedures, and standard practices • Achieve Key Performance Indicators (KPI) and Service Level Agreement (SLA) targetsSTAKEHOLDER MANAGEMENT • Develop close working relationships with key client stakeholders, landlords, managing agents, and facility vendors • Ensure prompt resolution of customer complaints, escalating to line management as required • Provide monthly reporting including trackers, audits, inspections, and health and safety metricsGENERAL RESPONSIBILITIES • Support audit completion and regular management reports • Carry out other reasonable tasks as directed by managementKEY REQUIREMENTS • Excellent communication skills for interaction with all organizational levels and client colleagues • Strong organizational skills to coordinate multiple tasks and duties effectivelyLocation: On-site –Dublin, IRLIf this job description resonates with you, we encourage you to apply even if you don’t meet all of the requirements.  We’re interested in getting to know you and what you bring to the table!At JLL, we harness the power of artificial intelligence (AI) to efficiently accelerate meaningful connections between candidates and opportunities.
