Program Summary: Project HOPE is providing humanitarian assistance to the conflict-affected population in Gaza. The current response portfolio focuses on Health, Mental Health and Psychosocial Support , Protection, and WASH programming through Project HOPE programs and local partnerships . POSITION SUMMARY: The Supply Chain Assistant – Procurement provides administrative and operational support to procurement activities for Project HOPE funded projects in Gaza under the supervision of the Supply Chain Officer – Procurement. The position supports documentation, filing, supplier follow-up, and basic procurement processes to ensure timely and compliant procurement in a highly constrained and volatile operating environment. This position is being advertised contingent upon award; while the recruitment process will proceed as part of organizational preparedness, no formal offer will be extended until funding is confirmed. PRINCIPAL RESPONSIBILITIES Procurement Support Documentation • Assist in processing purchase requests and ensure required documents and approvals are in place. • Support preparation of RFQs and collection of quotations from suppliers. • Assist in preparing procurement files including bid documents, purchase orders, and contracts. • Ensure procurement documentation is complete, properly filed, and audit-ready . • Maintain organized procurement filing systems (physical and electronic). Supplier Follow-up Coordination • Follow up with suppliers on quotation submission, order confirmation, and delivery status. • Support communication with vendors regarding documentation and required information. • Assist in maintaining supplier contact lists and databases. • Support basic market checks and price comparisons. Coordination with Programs Logistics • Coordinate with program teams to collect procurement requests and specifications. • Liaise with warehouse and logistics teams to confirm receipt of goods. • Assist in organizing deliveries and tracking shipments. • Support communication between procurement and other departments. Tracking Reporting Support • Maintain procurement trackers and update status of ongoing purchases. • Assist in preparing procurement status updates and reports. • Support data entry into procurement systems and tracking tools. • Help prepare documentation for audits and donor reviews. Compliance Ethics • Follow Project HOPE procurement policies and procedures at all times. • Conduct basic checks on documentation to ensure completeness and accuracy. • Maintain confidentiality of procurement processes and information. • Report any irregularities or concerns to the Supply Chain Officer. MINIMUM QUALIFICATIONS: • Diploma or Bachelor’s degree in Procurement, Logistics, Supply Chain Management, Business Administration, or related field. • Minimum 1–2 years of experience in procurement, logistics , or administrative support, preferably in NGO or humanitarian settings. • Basic understanding of procurement processes and documentation. • Strong organizational and filing skills. • Ability to work under pressure and manage multiple tasks. • Good communication and coordination skills. • Basic computer skills (MS Excel, Word). • Good communication and coordination skills and Fluency in English and Arabic is essential . Emergency deployments may be in resource-deprived environments with austere living conditions. Travel for extended periods may be by air and/or other modes of transportation. While international travel is not a regular part of every job, programmatic needs may require it intermittently.
