The Role 

As part of our Global Project Operations Team supporting deployment of HR Information Systems to large and medium size organizations, the Resource Management Coordinator primary responsibility is assisting Resource Managers (RMs) with their day-to-day responsibilities of staffing oversight and administration. Likely tasks will include updating assignments in workday, preparing staffing reports for internal staffing calls, preparing meeting minutes for staffing calls, and extending resources on projects in Workday,  

Assigned to multiple domains concurrently, supporting Resource Management activities 

Use guidelines and templates to ensure projects consistently adhere to good governance and best practice.  

Responsibilities: 

  • Provide administration support to the Resource Management (RM) team  
  • Assist the RM in scheduling meetings and taking notes/actions during weekly staffing calls
  • Update weekly staffing trackers (Excel, Smartsheets) by pulling reports from Workday and updating staffing trackers with latest weekly information in Excel
  • Assist in updating resource extensions for dates and/or hours in Workday for project assignments
  • Assist RM’s in making resource assignment updates for projects in Workday
  • Assist in closing project codes that are open in Workday which are duplicates, invalid, or integration
  • Take responsibility for selected project activities related to resourcing and forecasting 
  • Support improvements to RM tools and process 
  • Support practice wide improvement initiatives 

The Requirements

  • Bachelor’s degree or equivalent years of work experience.
  • Knowledge or handson experience with automation tools (e.g., Power Automate) and the use of AI technologies to enhance efficiency in administrative processes.
  • 2 to 3 plus years’ experience in high volume, quality driven administrative project coordination tasks supporting resource managers, project managers and/or external client work 
  • Strong knowledge of MS Office Suite especially Excel 
  • Prior knowledge of Smartsheet’s and/or Workday is a plus
  • Basic understanding of Resource Management/Project Management governance, processes and tools – including resource staffing, forecasting, and utilization
  • Analytical skills, able work with project and financial such as time tracking information or forecasts vs actual reports 
  • Fluent English skills (C1 at minimum if not a native speaker) 
  • Clear confident communicator with ability to interact with other resource managers and internal leaders.
  • Highly organized, proactive, and comfortable managing multiple priorities.
  • Basic knowledge of Smartsheet, MS Project, MS Visio or similar software 
  • Basic SharePoint administration skills 
  • Ability to conduct business in one or more European languages other than English 
  • Experience working in a virtual team-oriented, collaborative, multinational environment 
  • Experience preparing reports, presentations and coordinating meeting logistics 
  • Excellent spoken and written communication skills 
  • Previous PMO experience or exposure to project environment  
  • Experience supporting Consulting, Professional Services or Staffing environment preferred.
