Service Scheduling Coordinator, Utility Service, APAC Energy & Charging Service
The APAC Energy & Charging Service team maintains Tesla’s Energy & Charging fleet to ensure excellent customer experience and best-in-class availability. As a Service Scheduling Coordinator, you will play a critical role in maintenance planning, ensuring reliable operation of our utility-scale battery storage projects. You will coordinate preventative maintenance (PM), reactive service visits, and resource planning across sites—optimizing uptime, safety, and efficiency while meeting contractual obligations, SLAs, and regulatory requirements. This role demands strong organizational skills, attention to detail, and collaboration with cross-functional teams including field technicians, asset managers, project engineers, customers, and contractors.
Your work directly supports Tesla’s mission by minimizing downtime on high-impact energy assets, managing nationwide site schedules, and driving continuous improvements in service processes.
- Develop and maintain detailed maintenance schedules for utility-scale sites, including PMs, reactive repairs, and commissioning activities. Use tools like SCA, Planner, and Power BI dashboards to forecast needs, prioritize tasks, and ensure compliance with blackout periods and SLAs.
- Coordinate resources by collaborating with technicians, leads, managers, and vendors to allocate personnel, equipment, and parts. Manage overtime, travel logistics, and site access to maximize productivity and minimize travel time.
- Handle stakeholder communication: prepare weekly outage notifications, distribute schedules, escalation reports, and log issues in systems like SharePoint, Loop, and Inside Tesla. Manage escalations for equipment failures or component issues.
- Support process improvement: help refine SOPs for scheduling, track KPIs (e.g., total hours, closed activities, time per activity), and identify automation/efficiency opportunities.
- Ensure compliance and safety: align schedules with safety protocols, regulatory requirements, site-specific financial obligations, POs, and blackout periods.
- Create and maintain scorecards/dashboards for reporting, analyse outliers, and contribute to bi-weekly org syncs.
- Provide cross-functional support: assist with recruiting/onboarding, escalation handling (e.g., MIA/reactive components), and project rollouts (e.g., PMs for new sites).
- 2+ years of experience in scheduling, maintenance planning, or coordination roles, preferably in energy, utilities, or manufacturing.
- Proficiency in Microsoft Excel.
- Experience using Computerised Maintenance Management Systems (CMMS).
