What You’ll Get To Do
Manage complex and dynamic calendar scheduling across multiple time zones, prioritizing meetings and resolving conflicts
Coordinate domestic and international travel, including itineraries, scheduling details, and expense reconciliation
Serve as a gatekeeper for the C-level leadership’s time, ensuring focus on highest-impact priorities
Support meeting preparation, including agendas, materials, note-taking, and follow-ups on action items
Draft and manage communications on behalf of the C-level leadership, including emails and internal updates
Partner cross-functionally with leadership and other stakeholders to drive alignment and execution
Plan and coordinate executive meetings, events, and offsites
Maintain confidential files, documents, and records with a high level of discretion
Anticipate needs, solve problems proactively, and improve administrative processes for efficiency
Support special projects and initiatives as needed
What You Have
8+ years of experience supporting senior executives, ideally at the C-suite level
Strong organizational skills with exceptional attention to detail
Ability to manage competing priorities in a fast-paced environment
High level of professionalism, judgment, and discretion with confidential information
Excellent written and verbal communication skills
Advanced proficiency in Google Workspace and/or Microsoft Office tools
Ability to work onsite in Irvine, CA, five days per week
