Be part of a high performing results oriented growing HR Admin Team consisting of 4 members with a broad range of experience.

The role will be based in Kraków and the successful candidate will work on a hybrid model. Minimum 3 times a week in the office (Monday, Wednesday, Friday).

You can expect to gain experience in the following areas / your core duties will be:

  • Managing administration of full employee cycle process (from hire to retire: onboarding presentation, termination, annexes/contracts, payroll etc.).
  • Onboarding process from scratch - (contract preparation, HR onboarding presentation, contact with employees before onboarding, gathering onboarding documents, adding data collected from documents into internal systems, calculating vacation days, etc).
  • Processing foreigner’s documents for work permit
  • Maternity/paternity/disabilities issues
  • Assisting with all personnel file’s preparation (bank certificates, ZUS, other employee requests, etc)
  • Managing payroll reports for salary calculations
  • Managing shared HR mailbox  
  • HR system maintenance (Workday)
  • Employee files maintenance / Personnel files archive
  • Benefits administration: Benefits, Health insurance, Life insurance, Social Fund, pension administration and the invoices
  • Employees' working time and absences maintenance (labour law knowledge is required)
  • Co-operation with internal payroll department in relation to changes in compensation and payments
  • Co-operation with external HR/payroll vendors
  • Reporting and data analysis  
  • Keeping track of sick leaves and issuing medical checks
  • Other ad hoc tasks according to HR calendar/processes

Our requirements:

  • At least 3 years’ experience in Polish HR is required
  • Very good command of English B2 minimum
  • Experience with Workday would be an asset
  • Bachelor’s degree minimum (Administration or Human Resources preferred)
  • Very good knowledge of MS Office - especially in Excel, Outlook, Teams
  • Strong attention to detail and well organized
  • Outstanding teamwork skills
  • Decision making and solving issue skills
  • Strong sense of ownership and responsibility
  • Proactive and positive approach

Presence at the office on Opolska Street: Monday, Wednesday, Friday: 9:00 am to 5:00 pm
