School Programs Assistant
Under the supervision of the Manager of School Programs, the School Programs Assistant is responsible for the scheduling and data management of K-12 and Higher Education visits and programs to ensure the effective delivery, and smooth running of these programs. The position is also responsible for ensuring the assembly and distribution of resources for use in K-12 school programs (including guided tours, teacher-guided visits, and outreach efforts) and supports the logistics of K-12 and Higher Education school visits. The position serves as the primary point of contact for internal and external inquiries about scheduling K-12 School and Higher Education visits at SFMOMA.
Success for the School Programs Assistant will be to support the Education department’s efforts to:
- Offer meaningful, creative, inquiry-based, multi-modal, shared experiences centered around the art of our time through programming, resources, multigenerational learning, and community-based projects for children and their adult counterparts.
- Encourage exploration, experimentation, and creative problem-solving through a broad range of accessible programs and resources.
- Build and nurture relationships to engage diverse, multi-generational audiences in school and family contexts, particularly within the San Francisco Bay Area.
- After 30 days: Establish understanding of key programs and processes in Education. Contribute to projects as assigned. Begin developing departmental, cross-departmental, and cross-divisional relationships.
- After 90 days: Demonstrate understanding of museum processes, contribute to an increased number, scale, or variety of projects with increased project-management responsibility.
- After 1 year: Demonstrate increasing acumen with program coordination and project management skills including increased ability to work independently and problem-solve proactively on multiple simultaneous projects; contribute to refining departmental and cross-departmental workflows; and deepen key professional relationships.

Responsibilities & Duties
K-12 and Higher Education Program Scheduling and Logistical Coordination
- Field high volume of requests for K-12 school group and Higher Education visits, responding to inquiries in a timely manner and providing accurate information to educators about SFMOMA’s K-12 school group and Higher Education offerings. Ensure that teachers understand the full range of programs offered and that they feel welcome and accommodated at the museum.
- Check and respond to School Tour and Higher Education e-mail inboxes for visit requests, general information, and confirmations, and follow up accordingly.
- Schedule K-12 school visits and programs, as well as Higher Education visits offered by the Education Department. Process bookings, ticketing, and send group confirmations and visit instructions.
- Create, update, and maintain accurate constituent information within and between Tessitura (CRM) and Artifax (Venue Management), including biographical and relationship information and reporting.
- Maintain an accurate, detailed database on all active K-2 museum educators and school guides, including contact information, tour schedules, and activity reports.
- Reconcile end of year K-12 School and Higher Education visit attendance in Tessitura.
- Track and report on K-12 and Higher Education tour/program attendance, demographics, and statistics.
- Work with the Manager of School Programs, Operations, Security, Exhibitions, A/V, and Visitor Experience to ensure the daily operations of on-site school programs run smoothly, including logistical support (space bookings, room setup, security requests, etc.) for K-12 school and Higher Education visits, entrance and check-in of groups, and communication of daily school visits schedule to other museum departments, particularly Security, Operations, and Visitor Experience.
- Work directly with Visitor Experience staff to provide information and check-in packets for self-guided groups.
- Welcome and check-in scheduled K-12 school visits, summer school/youth group tours, and Higher Education groups and serve as liaison with teachers, instructors and group leaders to ensure all scheduling and logistical details regarding visits are handled efficiently.
- Work with the Creative Services team to ensure accurate and timely communications about K-12 school and Higher Education visits and that applications for these programs are available via sfmoma.org, print pieces, and newsletters.
- Conduct K-12 school tours, as needed.
- Inventory and maintain materials, supplies, and resources for use on school programs.
- Coordinate assembly and delivery of art kits to SFUSD classrooms.
- Contribute to the evaluation and assessment of K-12 school and Higher Education programs and events.
Department-Wide
- Contribute to, support, and participate in Departmental and cross-Division events and programs, including some evenings and weekends.

Qualifications & Skills
- Bachelor's degree (B.A.) or equivalent combination of education and experience in office settings.
- Two (2) years of proven experience administrative experience, preferably in a museum or related non-profit/educational or client service organization.
- A joy and passion for student learning. Experience in direct-service teaching youth preferred.
- Excellent public speaking skills.
- Excellent crowd management skills.
- Excellent collaboration skills.
- Patience and flexibility while working in a dynamic public environment.
- Excellent IT skills, including Microsoft Office Suite and proficiency with project management, and CRM and/or constituent database programs (e.g. Artifax, Asana, and Tessitura).
- Demonstrated organizational skills and a keen attention to detail, with the ability to organize work, set priorities, and meet critical deadlines.
- Exceptional verbal and written communication skills to address a wide variety of audiences.
- Exhibits an awareness and sensitivity to cultural and other differences when working with partner organizations, staff, program participants, artists, other stakeholders, and the general public.
- Must be able to visually inspect work. Ability to work with a computer and headset/phone for extended periods. Light lifting of furniture and resources, and ability to move around a space.
- Ability to travel locally. Ability to register for a Lyft for Business account with SFMOMA. Access to a car preferred.
- Availability to work evenings and weekends, as needed.
