About the Role

This is a reactive sales role, focused on handling inbound enquiries for meetings, events, and group accommodation, preparing proposals, and coordinating booking details prior to execution.

You will play a key role in driving revenue by ensuring timely responses, strong conversion of enquiries, and accurate coordination of event and group requirements.

Key Responsibilities

  • Manage incoming enquiries for meetings, conferences, events, and group bookings.
  • Prepare tailored proposals and quotations based on client requirements.
  • Convert enquiries into confirmed bookings through timely follow-up.
  • Prepare contracts, event orders, and detailed booking documentation.
  • Prepare and issue Banquet Event Orders (BEOs) ensuring all event details are accurate and communicated to operational teams.
  • Coordinate group accommodation blocks alongside event requirements.
  • Conduct site inspections with prospective clients.
  • Liaise with operational teams to ensure accurate planning and delivery.
  • Maintain accurate records in booking and CRM systems.
  • Identify opportunities to maximise revenue through upselling.

Pullman Rotorua is seeking a Meetings, Events & Groups Sales Executive to support the continued growth of our meetings, conferences, events, and group business.

As Rotorua’s leading 5-star hotel and part of the global Accor network, Pullman Rotorua offers 130 premium guest rooms, modern meeting facilities and the vibrant Barrel & Co restaurant. This role is responsible for managing incoming enquiries, converting them into confirmed bookings, and coordinating requirements to ensure a seamless client experience from enquiry through to event handover.

Skills & Experience

  • At least 2 years’ experience in meetings & events, group coordination, or hotel-based sales support.
  • Strong organisational and administrative skills with high attention to detail.
  • Experience preparing proposals, contracts, and event documentation.
  • Solid understanding of event coordination and service delivery.
  • Excellent communication and client relationship skills.
  • Ability to manage multiple priorities in a fast-paced environment.

Qualifications

  • Relevant qualification in Hospitality, Event Management, or Business (Level 7 or above preferred).
