We are seeking a driven Project Coordinator for our Vancouver branch to support the delivery of client‑facing IT projects from concept through go‑live and transition to support. Working closely with senior project managers and consultants, you will play a key role in coordinating plans, communications, and timelines across multiple concurrent projects while building a strong foundation for a career in IT project management.
A Day in the Life:
Coordinate end-to-end delivery activities for client IT projects (e.g., infrastructure, cloud, modern workplace, security, and business applications) under the guidance of a Senior Project Manager
Own and maintain project schedules: build and update project plans, track milestones and dependencies, and keep calendars aligned across internal teams and client stakeholders
Run project coordination rhythms: schedule and facilitate project meetings, capture minutes, confirm decisions, and drive follow-ups to closure
Support client communications by preparing status updates, action-item logs, and audience-appropriate summaries; ensure stakeholders know what is happening, what is needed, and by when
Track risks, issues, and decisions (RAID) and escalate early—bringing options, context, and recommended next steps to the project leadership team
Coordinate across delivery teams and vendors to remove blockers, confirm ownership, and keep work moving—especially when priorities change quickly
Support coordination of technical activities such as environment readiness, access management, implementation tasks, and deployment logistics; validate that prerequisites are met before work starts
Assist with testing and go-live coordination by tracking test plans, collecting defect/action updates, and helping teams hit entry/exit criteria
Maintain project documentation (project plan, RAID, meeting notes, change log, decision log) and ensure items are versioned, organized, and easy to find
Support project governance activities such as change requests, client approvals, and status reporting in partnership with the Senior Project Manager and account team
What You Bring:
1+ year of experience in project coordination (or a similar role) supporting projects in a client-facing or internal delivery environment
Strong scheduling and coordination skills: confident managing calendars, meeting logistics, action items, and dependencies across multiple stakeholders
Proficient Excel skills (e.g., formulas, pivots, basic reporting) and strong tech-savviness—you learn new tools quickly and adapt to changing delivery processes
Ability to juggle multiple projects at once while staying organized, calm, and responsive in a fast-moving environment
Exceptional client service attitude: proactive, upbeat, solution-oriented, and committed to creating a great client experience
Working knowledge of project delivery practices (Agile/Waterfall basics), including status reporting, task tracking, and change management concepts
High attention to detail and follow-through: you reliably track what was agreed, who owns it, and when it is due
Clear communicator (written and verbal) with the ability to learn quickly, ask great questions, and adapt your style to technical and non-technical audiences
What Makes You Extra Awesome:
Experience working in an IT services, MSP, or consulting environment supporting external clients is ideal
Hands-on experience with common delivery tools such as Microsoft Project, Smartsheet, Jira, Azure DevOps, or similar task/backlog tracking tools
Related certifications such as: CAPM, PMP (in progress), PRINCE2 Foundation, and/or Certified ScrumMaster (CSM) are considered assets
