Personal Assistant To Director
About the Role
We are seeking a highly organized, proactive, and resourceful Personal Assistant & Secretary with 57 years of professional experience to provide comprehensive administrative and executive support. The ideal candidate will be efficient, detailoriented, and capable of managing multiple priorities with professionalism and discretion.
Key Responsibilities
Executive Support
- Manage daily calendars, appointments, meetings, and travel schedules.
- Coordinate and prepare agendas, presentations, and reports for meetings.
- Draft, proofread, and manage correspondence, emails, and official communication.
- Handle confidential information with the highest level of integrity and discretion.
- Act as a point of contact between executive leadership, internal teams, and external stakeholders.
Administrative Management
- Organize and maintain files, records, and documentation (physical & digital).
- Manage office supplies, vendor coordination, and basic procurement tasks.
- Prepare expense reports, oversee reimbursements, and track budgets as required.
- Maintain task lists, followups, and ensure timely completion of deliverables.
Travel & Event Coordination
- Arrange domestic and international travel itineraries, accommodation, and logistics.
- Coordinate corporate events, conferences, client meetings, and team gatherings.
- Ensure all arrangements run smoothly endtoend.
Operational & Support Tasks
- Monitor and prioritize incoming emails, calls, and requests.
- Assist in personal tasks and errands for the executive as needed.
- Provide administrative support to crossfunctional teams when required.
- Maintain a professional and positive working relationship with all employees.
Required Skills & Qualifications
- Bachelor’s degree or equivalent in Administration, Business, or related fields.
- 5–7 years of proven experience as a Personal Assistant, Executive Assistant, or Secretary.
- Excellent verbal & written communication skills.
- Strong organizational and timemanagement abilities.
- Proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
- Ability to multitask and work effectively in a fastpaced environment.
- Professional appearance, positive attitude, and strong interpersonal skills.
- High level of discretion, confidentiality, and accountability.
Preferred Attributes
- Experience working with senior leadership or CXO-level executives.
- Strong problemsolving ability and a “cando” attitude.
- Flexibility to handle urgent tasks after standard working hours if needed.
- Familiarity with modern productivity tools (Teams, Zoom, SharePoint, etc.).
