The Role

We are looking for a dedicated and detail-oriented People Operations Specialist on a 12-month contract to support the People Operations team in Hong Kong. You will play a key role in day-to-day people operations - supporting onboarding, offboarding, employee administration, and cross-functional coordination to ensure a seamless, high-quality experience for everyone at Nex. You will handle sensitive employee information with the utmost confidentiality and integrity, focusing on data accuracy and process efficiency.
This is an ideal role for a proactive, empathetic operator who thrives in a fast-paced, dynamic startup environment and enjoys building processes from scratch. If the arrangement is successful, there is the possibility of conversion to a full-time permanent role.
What You'll Do
- Support pre-boarding document collection and verification for new joiners, ensuring all required documentation is gathered and organized ahead of their start date
- Maintain organized personal files and employee records, ensuring data accuracy and compliance across all systems
- Support the end-to-end onboarding experience - including welcome communications, Day 1 orientation logistics, and administrative setup - so every new joiner feels the Nex culture from the start
- Facilitate engaging first-day orientations, including introductions from key teams and a dedicated admin/logistics session covering MPF enrollment and other administrative requirements
- Serve as a point of contact for day-to-day employee queries on logistics, administrative processes, and general HR topics - responding with speed, clarity, and a genuine desire to help
- Act as an operational coordinator for people programs and initiatives, helping ensure a high-quality experience that reflects Nex's culture and values
- Support the design, drafting, and implementation of people policies - ensuring they are clear, practical, and aligned with company values and local compliance requirements
- Review and streamline existing workflows and processes across the employee lifecycle, identifying opportunities to improve efficiency and reduce manual work
- Support people experience programmes - including engagement initiatives, team events, and culture-building activities that strengthen connection across the team
- Research and propose internal gift and merchandise ideas, and coordinate with vendors on design, production, and delivery
- Support end-of-program events, presentations, and celebrations
What You Bring
Required Qualifications
- 1–3 years of experience in People Operations, HR administration, office coordination, or a similar people-facing role
- Experience with onboarding logistics, document management, or program coordination
- Familiarity with employment and administrative processes in Hong Kong.
- Strong organizational skills and exceptional attention to detail, with a strong commitment to data integrity and confidentiality
- Excellent written and verbal communication skills in English; proficiency in Cantonese and/or Mandarin is a plus
- The ability to work independently while collaborating seamlessly with a global team
- Ability to manage multiple priorities and pivot quickly in a dynamic environment
Preferred Qualifications
- Experience in a startup or high-growth tech company
- Experience supporting early-career or cohort-based programs
- Comfort working with tools in our stack: Notion, Slack, Google Workspace, Google Forms.
