Role Overview


The Office Manager for Dublin is responsible for the smooth, efficient, and professional operation of the Dublin office, ensuring a high‑quality workplace experience aligned with organizational standards. The role oversees day‑to‑day office operations, manages vendor relationships, supports crew engagement initiatives, and collaborates closely with European office and administrative teams. This position plays a significant part in shaping the employee experience, ensuring safety and compliance, and supporting strategic office initiatives.

What You'll Do:

 Operational Oversight

  • Oversee daily operations of the Dublin office, ensuring facilities, services, and the overall workplace environment adhere to organizational and Vanguard standards.
  • Manage relationships with external vendors and suppliers, including office supplies, kitchen amenities, and service providers.
  • Serve as a point of contact for Global Workplace Experience (GWx) and support space planning and management activities.
  • Purchase DSE (Display Screen Equipment) items based on individual assessments and ensure compliance with health and safety requirements.
  • Perform end‑to‑end reconciliation of office-related invoices and track budgets to ensure spend remains within approved allocations.
  • Coach managers and crew on travel and expense policies, ensuring adherence to organizational guidelines.
  • Support the onboarding and offboarding lifecycle by partnering with HR, IT, and other internal stakeholders to ensure a seamless employee experience.

Foster Collaboration & Support Leadership
  • Contribute to attraction, assessment, and onboarding efforts for administrative talent in Dublin.
  • Partner with the European admin and office manager community to ensure consistent standards, knowledge sharing, and alignment on best practices.

Support Strategic Initiatives

  • Act as the primary point of contact between the Dublin office and internal functions, ensuring alignment with business needs, planning requirements, and policy expectations.
  • Ensure appropriate First Aid and Fire Marshal coverage across the office, including coordinating training and ensuring certifications remain current.
  • Support internal and external events, recognition activities, and crew engagement initiatives across the Dublin site.
  • Participate in special projects as assigned, such as new office openings, culture and engagement programmes, and workplace transformation activities.

What You Bring:

  • Experience in office management or workplace operations, ideally in a multi‑site or multi‑country environment.
  • Strong leadership capabilities with experience managing administrative or operational teams.
  • Excellent organizational, communication, and stakeholder‑management skills.
  • Experience with budgeting, invoice reconciliation, and vendor management.
  • Knowledge of workplace compliance, including health and safety and DSE requirements.
  • Ability to collaborate across multiple functions and work effectively in a matrixed environment.
  • Proactive, solutions‑focused mindset with the ability to anticipate operational needs.
