The Office and Facilities Coordinator keeps the centre running day to day and sets the tone for how the team works together. You'll work directly with the General Manager and the broader Innovation Centre Leadership team. For the internal team, you're the face of the centre: the person people come to, the one who makes new starters feel like they landed somewhere exceptional and the one who keeps the energy up as we grow to 400+ team members.
The role is responsible for shaping the experience and culture of the centre, acting as the face of the space for the internal team and setting the standard for what it feels like to work there. This includes running team events, establishing meaningful rituals, and building engagement activities that foster a strong sense of belonging. A key focus is ensuring new starters feel genuinely welcomed and understand what the centre is about from day one, while working closely with the broader team to deliver engagement and culture programs across the centre.
Alongside this, the role manages the day‑to‑day operations of the building, ensuring facilities and workplace needs are handled smoothly. This includes managing supplier and vendor relationships, overseeing visitor management and workplace logistics and tracking office expenditure, invoices, and operational administration. The role also supports leave planning, onboarding logistics, fire evacuation and first aider requirements as well as the coordination of team events.
The position also provides executive support to the General Manager, managing calendars, travel, and competing priorities. This includes coordinating meetings and leadership forums by preparing agendas, managing logistics, capturing minutes and tracking actions. The role prepares reports, presentations, and briefing materials, handles confidential information with discretion and ensures information flows effectively across the centre so nothing is missed or lost.
You’ll have:
2+ years’ experience in providing administrative assistance to senior leaders
Demonstrable experience in providing administrative assistance to senior leaders, suppliers and preferably have experience managing tasks for building facilities
A passion for building a culture from scratch
Experience providing administrative assistance to senior leaders
Highly developed time management and organisation skills with the ability to prioritise and work to tight deadlines
Highly motivated with the ability to work with minimum supervision with highly sensitive and confidential material
High level of customer service - internal and external
Acute attention to detail
Experience in maintaining efficient filing systems
Accurate experience on Microsoft, with proficiency in company approved software, including Word, Excel, PowerPoint and The Terminal, our intranet
Proven written and oral communication skills with the ability to communicate with all levels of customers both internal and external
Demonstrated ability to work under pressure and to strict time constraints
