As Occupancy Planner, you will be responsible for providing occupancy planning expertise, leveraging a deep understanding of our client’s space supply and demand to develop scenario and occupancy plans for our client's portfolio in India .
What this job involves:
· Act as liaison with local site contacts (Client, JLL, or other vendor staff) to request, collect, and process data and drawing updates. Develops and maintains relationships with local site contacts to facilitate data accuracy.
· Drive strategic business decisions with detailed analytics, business insights, and real-time reporting on Key Performance Indicators (KPIs) and financial results.
· Maintains accurate data in a CAFM/IWMS database application, and:
o Add or remove buildings, floors and/or employee and organization data to reflect portfolio changes
o Performing required site and data audits according to account procedures, including: schedule, results tracking, data updates and adjustments, and drawing changes
o Timely data corrections
o All quality assurance processes: monthly, quarterly, annual
o Processes to collect, validate, maintain and manage client space drawings and data
o Governance program to define, categorize, measure, and audit client space data
o Applies a working knowledge of office space categorization principles (BOMA, OSCRE, etc.) including circulation, egress, common, core and amenity; and literacy in reading and interpreting floor plans, to the client’s portfolio data.
· Accountable for following drawing and data standards including:
o Validates data to determine readiness for benchmarking (OP Dashboards)
o Remediates data integrity issues (multiple names in a seat, name with multiple assigned seats, etc.)
o Review data errors (QA) within portfolio and reports on remediation
o Performs corrective actions in monthly QA cycle
· Provides reporting including:
o Prepares, generates and publishes standard reports on a weekly, monthly, and quarterly basis, including employee and room detail reports.
o Prepares quarterly trend repost on vacancy, utilization, density, and/or other space metrics as requested by the client
o Assists with ad-hoc requests for queries from CAFM database on occupancy and space data as requested by client.
· Utilization of CAFM/IWMS database system includes:
o Reports issues related to CAFM application to the CAFM/IWMS Administrator or submits trouble tickets to the technology help desk as appropriate.
o Reports status, issues and concerns related to the overall use, functionality and performance of CAFM/IWMS to the Account Lead/Space Data Manager.
o Performs testing of application hot fixes, and new enhancements and modifications as requested.
o Trains client end users on use of CAFM/IWMS for move requests and (when applicable) reporting.
· Ability to present and provide meaningful business insights from data. in strategic and tactical planning discussions with executive management, gathering requirements, managing initiatives and project deliverables with minimal direction
· Working with Global Space Operators to oversee global consistency
· Responsible to track all the space requests across India and respond to the queries within the acceptable timeline
· Ensuring CAD plans across India are up to date.
Driving optimal occupancy planning solutions
Your primary focus areas for this role will be managing the development of occupancy plans, sequencing group-level and individual moves, and resolving planning issues identified during client planning sessions. You will ensure the alignment of planning with corporate guidelines and that all scenarios maximize the use of space. You will recommend, educate, and enforce space policies/standards, procedures, and protocols, notify the client of customer-requested exceptions, and, as necessary, assist in developing site-specific Planning Strategies with Senior Leadership. You will be a Subject Matter Expert in the client's workplace program and in using data to drive solutions that increase productivity. You will be a leader in the Occupancy Planning and account team, modelling superior client relationship management and strategic thinking.
Reporting
One of your major requirements will be to get familiar with space utilization methods and the presentation of utilization data. Interacting with organizational leadership, you will identify space requirements and prepare and update project status reports on actual versus projected seat demand at the building level. In addition, you will report on current supply and capacity, forecast inventory changes as required, and work with the client to reconcile any discrepancies from top-down projections.

Tech-savvy
You will be successful in the role if you are comfortable using software to support planning solutions and communicate ideas clearly with the planning team and client. This includes having advanced skills in Microsoft Excel (pivot table, vlook-up, cell calculations). In addition, proficiency in Microsoft Office Suite and the ability to consolidate data and floor plans into PowerPoint Presentations and experience with CAFM / IWMS software will be highly valuable.

Excellent communication skills are important – both written and spoken. An individual with strong interpersonal skills, able to understand complex ideas and communicate them to others, and an ability to interact with executive-level external and internal clients will be successful in the role. Ability to lead through influence
Expert level data analytical skills and ability to articulate stories through data
Attentive to detail and accuracy - particularly numbers and spatial creativity
Highly organized and demonstrates a high level of performance in project budgeting and scheduling
A working knowledge of occupancy utilization, office design principles and trends such as the mobile or collaborative workplace is preferred
A Bachelor's Degree in Real Estate, Finance, Architecture, Design, Construction Management, or related field is preferred

Managing space portfolios
How do you manage space through data? As a subject matter expert, you’ll manage capacity, demand and supply for a specific client’s workplace. Driving occupancy plans, sequencing group or individual level moves, and resolving planning issues will be your responsibility. While you recommend and enforce policies and procedures, maximizing space under all scenarios and driving solutions to increase productivity will be your goal.
Key stakeholders management
One of your key responsibilities will be to foster critical relationships with various stakeholders, which will need you to establish crisp and fast communication channels. Planning the projected requirement versus actual need will need your attention, as you assist senior leadership in site-specific planning strategies and guide other members of the occupancy planning team to develop cross-campus portfolio strategies.
Monitoring and reporting
You’ll also be accountable for preparing and updating accurate project status reports, for which you’ll work closely with the client to reconcile discrepancies. Likewise, this will demand your familiarity with typical occupancy metrics and industry occupancy trends.

Solid background
A Bachelor's degree in a related field is what you must have along with 5–7 years of experience in a corporate real estate environment. Previous experience in space/occupancy planning at a strategic level, plus experience with interior office renovations is highly desirable. So is CAFM system experience.
Tech-savvy
How tech-savvy are you? Do you utilize software to support solutions and communicate ideas? You will be successful if you have advanced skills in Microsoft Office suite, proficiency in AutoCAD, ability to consolidate data and floor plans into PowerPoint presentations. Your ability to ask the right questions, think strategically and make appropriate decisions to find solutions for our clients will be highly useful.
