The University of Nevada, Las Vegas invites applications for Space Planning Analyst/Senior Space Planning Analyst, Office of Space Management (FLEXIBLE WORK SCHEDULE) [R0150624].

ROLE of the POSITION

The University of Nevada, Las Vegas (UNLV) is seeking a dedicated and detail-oriented Space Planning Analyst or Senior Space Planning Analyst to join our team. This position plays a vital role in the effective management and utilization of campus spaces. The successful candidate will be responsible for supporting Planning & Construction in maintaining accurate AutoCAD drawings of UNLV owned and leased spaces, coordinating changes with key stakeholders such as Planning & Construction, Facilities Management, Risk Management and Safety, the Registrar’s Office, and Real Estate. Additionally, the analyst will update data within the Archibus Integrated Workplace Space Management software, ensuring proper classification of rooms according to the Facilities Inventory Classification Manual (FICM). This role will also support the ongoing implementation of a GIS system for campus space management.

The Space Planning Analyst will assist in developing space plans that maximize utilization, manage small campus moves, and collaborate with various departments on occupancy loads and station counts. Responsibilities also include scheduling, conducting, and approving Building Surveys, managing Archibus user security, and providing customer service support through departmental communications and training. The role requires generating reports and floor plans as needed, as well as assisting with the Facility & Administration Survey data collection conducted every 3-5 years.

For the Senior Space Planning Analyst role, additional responsibilities include developing FICM standards, coordinating large moves and projects, and overseeing Departmental Review Surveys. This position will also involve supporting the University Space Committee and representing the Office of Space Management on various university committees.

Key Responsibilities:

Data & Drawing Management:

  • Supporting Planning & Construction in maintaining accurate AutoCAD drawings of UNLV owned and leased spaces.

  • Coordinate changes with key stakeholders including Planning & Construction (P&C), Facilities Management (FM), Risk Management and Safety (RMS), the Registrar’s Office, and Real Estate.

  • Update data within Archibus Integrated Workplace Space Management software, determining room categories per the Facilities Inventory Classification Manual (FICM) and UNLV standards.

Space Management:

  • Assist in developing space plans that maximize utilization.

  • Coordinate and manage small moves across campus.

  • Collaborate with P&C, RMS, FM, and the Registrar’s Office on occupancy load and station counts.

Building Surveys:

  • Schedule, conduct, and approve Building Surveys to assess space utilization.

Archibus User Security:

  • Manage the security access process for Archibus within Salesforce.

  • Schedule and conduct introductory training sessions on Archibus Web Central for staff.

Administrative Duties:

  • Handle departmental communications including phone inquiries and emails.

  • Provide customer service support and update website content.

  • Manage building resource room signage.

  • Create and update Process Documentation.

Space Reporting:

  • Generate simple reports and floor plans as requested.

  • Assist with data collection for the Facility & Administration (F&A) Survey, conducted every 3-5 years.

Additional Duties:

  • Perform other related tasks as assigned.

Senior Space Planning Analyst Additional Responsibilities:

Data & Drawing Management:

  • Develop FICM standards and interpretations for campus room categories and gross square footage.

  • Ensure the integration of the Workday supervisory organization structure with the Archibus department organization.

Space & Project Management:

  • Coordinate and manage large moves and small projects on campus.

Building & Departmental Review Surveys:

  • Accept and oversee Building Surveys.

  • Schedule, train, conduct, review, and accept Departmental Review Surveys.

University Committees:

  • Support the University Space Committee and represent the Office of Space Management on various university committees as needed.

Technical Support:

  • Provide technical support for Archibus Integrated Workplace Management Software.

Space Reporting:

  • Facilitate and support space reporting requests, serving as the primary contact for the Space Management Office during the F&A Survey data collection process.

MINIMUM QUALIFICATIONS

Space Planning Analyst

  • Understanding of higher education systems and organizational structure.

  • Excellent organizational and time management skills

  • Good verbal and written communication skills and the ability to generally communicate effectively.

  • Ability to manage multiple projects, prioritize and possess a productive and service-oriented attitude and approach to work assignments and working with others.

  • Be a self-motivated person with a strong desire and ability to work with and support a team;

  • This position requires on-site building verification of floor plans and space utilization information. Involves considerable walking and stair climbing.

  • Demonstrated ability to think critically and use professional judgment

Senior Space Planning Analyst

This position requires a Bachelor’s Degree from an accredited college or university as recognized by the United States Department of Education and/or the Council on Higher Education Accreditation (CHEA) and 3 years of experience.  Credentials must be obtained prior to the employment start date.

PREFERRED QUALIFICATIONS

  • Experience with Archibus Space Management or other database/space management systems.

  • Basic understanding of space management principles and reporting

  • Familiarity with the Facilities Inventory Classification Manual (FICM).

  • Proficiency in the Google platform.

  • Skilled in AutoCAD and/or Revit.

  • Experience with Esri GIS software

SALARY

Space Planning Analyst minimum starting salary is $70,500.

Senior Space Planning Analyst minimum starting salary is $82,500.
