Deal Desk is the commercial control system that protects margin, prevents revenue leakage, enforces pricing governance, and helps Sales move quickly without creating avoidable exceptions, billing errors, or downstream issues.

Role Overview

The Deal Desk and Approvals Analyst owns day-to-day deal desk execution, including intake, quoting, approvals, pricing governance, and cross-functional handoffs to Finance and Legal. You will serve as the operational bridge between Sales, RevOps, Finance, and Legal, ensuring every quote and contract is accurate, policy-compliant, and ready to bill correctly.

This role is not about slowing deals down. It is about helping deals close faster by standardizing workflows, reducing back-and-forth, and enforcing rules with clarity, speed, and consistency.

Key Responsibilities

1) Deal Intake, Triage, and SLA Ownership

  • Own the deal desk ticketing and intake process for new deals, changes, and exception requests.
  • Triage requests quickly, confirm required information, and route approvals based on policy.
  • Maintain SLAs and communicate clear timelines, status updates, and next steps to Sales stakeholders.
  • Reduce rework by enforcing complete submissions and consistent use of standard templates.

2) Quoting, Proposals, and Commercial Validation

  • Prepare, validate, and deliver quotes and proposals using CPQ tools or standardized templates.
  • Review pricing, discounts, bundles, and terms for accuracy and compliance with commercial policy.
  • Ensure quotes reflect current packaging rules and do not create downstream delivery, billing, or contracting issues.
  • Coordinate closely with Sales on quote revisions, formatting requirements, and customer-facing accuracy.

3) Discounting, Approvals, and Policy Enforcement

  • Manage discounting and exception workflows using approval matrices and pricing policy guardrails.
  • Route approvals to the appropriate stakeholders with clear context, supporting details, and reason codes.
  • Maintain and enforce deal desk policies, including discount thresholds, standard terms, bundling rules, and exception handling.
  • Apply governance consistently across reps, teams, and segments to avoid precedent drift and policy confusion.

4) CRM and Billing Accuracy

  • Ensure quote and contract data is correctly captured in the CRM, including opportunity fields, line items, products, approvals, and required documentation.
  • Validate CRM accuracy against quote outputs, order forms, and billing requirements.
  • Coordinate handoffs to Finance or billing teams to support bookings accuracy and close readiness.
  • Maintain clean documentation for non-standard terms, approvals, and exception rationale.

5) Tools, Operations, and Continuous Improvement

  • Operate and support deal desk tools such as CPQ, proposal platforms, e-signature systems, and workflow automation tools.
  • Partner with RevOps on integrations and workflow improvements that reduce manual work and improve speed and accuracy.
  • Build and maintain templates, including proposal formats, order forms, pricing tables, and approval checklists.
  • Drive automations and process improvements that increase deal velocity while protecting controls.
  • Use AI tools thoughtfully to improve productivity, documentation quality, workflow efficiency, and execution accuracy.
  • Apply automation and AI-assisted workflows where appropriate to reduce repetitive work and improve consistency and speed.

6) Reporting, Audits, and Revenue Leakage Prevention

  • Track deal desk performance metrics such as turnaround time, SLA compliance, approval volumes, discount levels, and error rates.
  • Run periodic closed-won audits to identify discount leakage, policy exceptions, and data integrity issues.
  • Maintain reason codes and root cause themes to improve policy, enablement, and process quality over time.
  • Support month-end and quarter-end close by ensuring bookings are accurate and supporting documentation is complete.

7) Enablement and Adoption

  • Train Sales teams on submission standards, quoting rules, and approval workflows so adoption is consistent.
  • Create quick-reference guides, SOPs, and self-serve checklists that reduce dependency on deal desk for basic tasks.
  • Provide clear, responsive guidance while staying firm on policy, process, and data-quality requirements.

Qualifications

Required

  • 2 to 5 years of experience in deal desk, sales operations, revenue operations, commercial operations, or related roles.
  • Hands-on experience with CRM and quoting workflows in Salesforce, HubSpot, or similar platforms.
  • Strong attention to detail and comfort reviewing pricing tables, order forms, statements of work, and commercial terms.
  • Strong communication skills and a service-oriented mindset in fast-paced, deadline-driven environments.
  • Advanced spreadsheet skills in Excel or Google Sheets.
  • Ability to enforce policy consistently while maintaining strong stakeholder relationships.
  • Strong process discipline, including documenting workflows, maintaining SLAs, and improving systems over time.
  • Comfortable using AI tools to improve productivity, quality of work, and day-to-day execution.
  • Willingness to learn emerging AI workflows and use AI responsibly to improve performance, accuracy, and execution quality.

Preferred

  • Experience with CPQ or quoting tools such as Salesforce CPQ, Conga, PandaDoc, or similar platforms.
  • Experience with e-signature and contract lifecycle tools such as DocuSign, Ironclad, or similar systems.
  • Familiarity with billing workflows and basic revenue recognition concepts.
  • Experience in high-growth environments with frequent pricing, packaging, and approval-policy changes.
  • Basic SQL or scripting familiarity for reporting, audits, or workflow analysis.
  • Familiarity with tools and systems such as Slack, Google Workspace, ChatGPT, ClickUp, Hubstaff, Salesforce, HubSpot, PandaDoc, DocuSign, Ironclad, Excel, Google Sheets, and other deal desk, RevOps, or workflow tools.
