Role Purpose

To flawlessly deliver approx.6 - 7 Japan conferences as a Conference Manager, as part of the global events team creating exceptional customer experiences for every attendee, sponsor and associate attending events.

Primary Responsibilities

  • Ensure the flawless execution of conferences in Japan as an integral member of the global event operations team.

  • Collaborate and communicate effectively with conference teams worldwide to deliver exceptional, first-class events.

  • Take direct ownership of budgets, including preparation, negotiation, and accurate monthly forecasting for conferences with a combined expense of $9 million USD. Proactively manage risks and provide recommendations for corrective actions as needed.

  • Oversee relationships with conference partners, conducting regular reviews and negotiating favorable contracts to ensure collaboration with top-tier partners.

  • Manage all aspects of venue operations, including room setups, meeting facilities, food and beverage, event materials, accommodation, and audio/visual requirements.

  • Coordinate conference logistics such as transportation, temporary staffing, shipments, and entertainment.

  • Contribute to the continuous improvement of event features and programs by reviewing and executing enhancements, and analyzing attendee feedback to deliver outstanding and relevant event experiences.

  • Effective project management including guiding teams to meet deadlines, adhere to schedules, and utilize standardized templates.

  • Monitor and assess progress towards project goals, adopting a solution-oriented approach to overcome challenges and achieve desired outcomes.

  • Develop and implement standard operating procedures aligned with global standards.

  • Serve as a key member of the global conference operations team, building strong relationships with peers across regions and sharing best practices to elevate conference quality worldwide.

Education

Bachelors degree with focus on events and/or marketing preferred

Professional Experience

  • 3-4 years of business meeting planning experience

  • Proven budget management abilities

  • Project management experience.
