We are seeking a proactive and detail-oriented Legal Assistant to support a growing caseload and ensure high-quality client service from initial intake through case resolution. This role is client-facing and case-driven, requiring strong organizational skills, excellent written and verbal English (C1 level), and the ability to manage multiple matters at different stages.
The ideal candidate is resourceful, communicative, and comfortable taking ownership of tasks while working under attorney guidance and established processes.
Key Responsibilities Client & Relationship Management
• Serve as a primary point of contact for clients via phone, email, and text.
• Provide clear and timely case updates while maintaining a high level of professionalism and empathy.
• Conduct client intake calls and gather detailed case narratives.
Case & Document Management
• Manage approximately 60–80 active cases at various stages.
• Collect, review, organize, and maintain client and third-party documents.
• Ensure accurate and complete documentation in the case management system.
• Draft case summaries that clearly outline facts, timelines, and supporting evidence.
Intake & Case Development
• Initiate insurance claims and gather policy information.
• Obtain medical records, discharge paperwork, IDs, prior medical history, and prior claims information.
• Coordinate with third parties such as medical providers, treatment managers, investigators, and vendors.
• Track client treatment progress and appointments.
Legal Support
• Draft routine legal documents, correspondence, demands, and petitions using provided templates.
• Assist in building case strategy by identifying missing information and next steps.
• Support attorneys and paralegals with case preparation and follow-up.
Problem Solving & Follow-Up
• Identify issues, inconsistencies, or delays in cases and propose solutions.
• Follow up persistently with clients, providers, insurers, and third parties.
• Maintain organized case files to support settlement or litigation.
Required Qualifications
• English proficiency: C1 level (written and spoken) – required.
• 1+ year of experience as a Legal Assistant, Intake Specialist, Paralegal, or similar role (law firm or legal services preferred).
• Strong writing skills in English (professional, clear, and structured).
• Excellent organizational and time-management skills.
• Ability to manage a high-volume caseload with attention to detail.
• Comfortable working independently with guidance and templates.
• Strong communication skills and client-service mindset.
• Tech-savvy: experience with case management systems, email, and document tools.
Nice to Have
• Experience in Personal Injury, Civil Litigation, or Plaintiff-side law.
• Experience working with U.S.-based law firms.
• Familiarity with medical records and insurance claims.
