Job Summary
A growing group of related businesses is seeking an experienced General Virtual Assistant to manage day-to-day administrative operations, task tracking, calendar management, inbox triage, and financial support using QuickBooks Online.
This is a hands-on role for a detail-oriented professional who can operate independently, communicate clearly in excellent English, and bring structure, accuracy, and consistency to a dynamic, multi-priority environment.
Key Responsibilities
Administrative & Executive Support

Manage calendars, confirm or adjust meetings, send reminders, and block focus time to protect key commitments

Triage email inboxes, flag urgent items, draft responses for review, and organize or archive less critical emails

Maintain task and project tracking dashboards, including daily “Top 3 Focus” priorities, and provide end-of-day summaries
QuickBooks Online & Financial Support

Enter daily transactions and receipts in QuickBooks Online

Categorize expenses accurately and reconcile accounts as needed

Prepare daily, weekly, and monthly financial summaries, including cash flow, income vs. expenses, and outstanding invoices

Generate reports and dashboards with key financial insights, highlighting trends or anomalies
File & Document Management

Organize, rename, and file documents consistently across systems

Audit digital files and folders for accessibility, accuracy, and removal of duplicates

Refresh and maintain templates for reports, emails, and presentations
Project & Meeting Support

Prepare briefing notes, agendas, and talking points for board, partner, or client meetings
-
Maintain project checklists and track progress for ongoing initiatives

Conduct research on events, grants, sponsorships, and market trends as required
Networking & Relationship Management

Update CRM or contact lists with new connections

Track key dates such as follow-ups, birthdays, and other reminders

Draft thank-you and follow-up notes for review
Strategic & Career Support

Compile project notes into high-level summaries showing completed work, pending items, and upcoming priorities

Maintain records of major wins, milestones, and community contributions

Suggest relevant conferences, training, or networking opportunities
Qualifications

Minimum 3–5 years of professional experience as a virtual assistant, executive assistant, or administrative support role

Proven experience with QuickBooks Online, including transaction entry, reconciliations, and reporting

Strong organizational and time-management skills, with an ability to prioritize multiple tasks

Excellent written and spoken English with professional communication skills

High proficiency with cloud-based productivity tools (Google Workspace, Microsoft Office, or similar)

Attention to detail, confidentiality, and accountability

Comfortable working independently in a fully remote environment
