More about the role:

Burson is seeking a proactive and detail-oriented Executive Assistant & Admin to manage day-to-day office operations while providing administrative and executive support to leadership. The role requires strong coordination skills, ownership, and the ability to manage multiple tasks efficiently.

What you'll do:

Executive Assistant Responsibilities:

  • Provide administrative support to senior leaders including calendar coordination and meeting scheduling
  • Arrange travel bookings, itineraries, and logistics for leadership
  • Manage visiting card requests for senior stakeholders
  • Coordinate internal and external meetings, including setting up meeting rooms and ensuring readiness
  • Assist in preparing reports, and documentation as required
  • Handle confidential information with discretion and professionalism

Office Administration & Facilities Management

  • Conduct daily morning inspections of office spaces, meeting rooms, pantry, refrigerator, and washrooms to ensure cleanliness and readiness
  • Manage meeting room bookings and allocations for employees
  • Ensure functionality of office equipment including newsroom TV and other utilities
  • Coordinate with vendors (e.g., Sodexo) and follow up on issue resolution
  • Maintain manual attendance records and share attendance reports with HR
  • Manage office supplies inventory and place orders as required
  • Handle courier documentation including preparation of declarations and delivery challans
  • Escalate facility-related concerns and coordinate with central teams

Employee Support & Engagement

  • Arrange snacks, team lunches, cakes, and engagement activities for employee forums and celebrations
  • Organize rewards such as Job Well Done certificates, vouchers, and hampers
  • Assist employees with travel guidance and local transport arrangements (cabs, ground transfers)
  • Support onboarding by arranging access cards, lockers, bank account coordination (HSBC), and SIM cards
  • Train employees on expense filing and purchase order processes
  • Ensure all expenses are approved as per budget and authorization protocols learning opportunities so they remain engaged with the company for the foreseeable future.

Coordination & Stakeholder Management

  • Manage guest arrivals including registration, access, parking coordination, and notifying relevant teams
  • Assist in candidate interview coordination and stakeholder alignment
  • Act as a point of contact between employees, vendors, and leadership for administrative matters
  • Ensure smooth communication and timely resolution of requests

 Experience that contributes to success:

  • Strong organizational and multitasking abilities
  • Excellent communication and coordination skills
  • Proficiency in MS Excel and basic reporting
  • Ability to handle multiple stakeholders and prioritize tasks effectively
  • High level of ownership, responsiveness, and attention to detail
  • 2–5 years of experience in Executive Assistant / Administration / Office Management roles
  • Experience in corporate or agency environment is a plus
