POSITION SUMMARY

The Contract Management System Administrator is responsible for the configuration, maintenance, optimization, and user support of the organization’s Contract Lifecycle Management (CLM) platform, Conga (formerly Novatus). This role ensures the system operates efficiently, supports end-to-end contract workflows, and meets the needs of Procurement, Vendor Management, Legal, Finance, and other business stakeholders. The Administrator serves as the primary subject matter expert for the CLM system, enabling the organization to drive compliance, visibility, reporting, and operational efficiency.

DESCRIPTION

Essential Functions, Duties, and Responsibilities

  • System Administration and Configuration
  • Configure and maintain CLM system settings, user roles, permissions, templates, and automated workflows.
  • Oversee system updates, enhancements, and integrations with ERP, CRM, e signature platforms, and other enterprise systems.
  • Manage metadata fields, clause libraries, reporting dashboards, and document repositories.
  • Ensure data accuracy, security, and integrity across the system.
  • User Support and Training
  • Serve as the primary point of contact for system users and troubleshoot issues related to system functionality.
  • Develop and deliver user training programs, quick start guides, job aids, and onboarding materials.
  • Monitor system usage and proactively identify opportunities to streamline user experience.
  • Provide support for contract request intake, workflow questions, and routing issues.
  • Process Optimization
  • Partner with Vendor Management, Legal, Finance, and business units to evaluate and enhance contract workflows.
  • Implement process improvements to reduce cycle time and strengthen compliance.
  • Ensure templates, clauses, approval rules, and workflows remain up to date with policy requirements.
  • Collaborate with cross functional teams to standardize processes across the enterprise.
  • Reporting and Analytics
  • Build and maintain dashboards and reports to provide visibility into:
  • Contract cycle times.
  • Expiration and renewal tracking.
  • Workload distribution.
  • Contract compliance and obligations.
  • Prepare periodic performance metrics for leadership and audit teams.
  • Effectively manage and oversee the day-to-day operations of an offshore team of Analysts.
  • Governance and Compliance
  • Ensure the CLM system aligns with internal policies, regulatory requirements, and audit controls.
  • Maintain records retention and archival protocols.
  • Coordinate user access, authentication, and system security measures.
  • Vendor and Technology Management
  • Liaise with the CLM software provider for support cases, upgrades, and roadmap items.
  • Participate in evaluating new modules, integrations, or enhanced functionality.
  • Support testing and change management efforts for system releases.
  • Ability to effectively and accurately convey information to others.
  • Performs related duties as assigned by management.

Qualifications and Education Requirements

  • Bachelor’s degree in business, Information Systems, Supply Chain, or related field a plus.
  • 3-5 years of experience administering a Contract Management system (e.g., Conga, Coupa, Ariba, or similar).
  • Prior supervisory experience preferred.
  • Strong understanding of contract lifecycle processes, procurement, and legal workflows.
  • Proficiency with report building, data analysis, and system configuration.
  • Excellent problem solving, documentation, and communication skills.
  • Understanding and commitment to continuous business improvement process.

Work Environment and Physical Requirements

  • Working on-site at assigned office location.
  • Regular and punctual attendance adhering to schedule established by leadership.
  • Flexibility to work occasional adjusted work schedules, overtime, and evening and/or weekend hours to meet deadlines or as business needs demand.
  • Working in a cubicle hub, maintaining focus on phone calls in a noisy environment within earshot of multiple other conversations.
  • Sedentary work in a stationary position at a cubicle for prolonged periods of time.
  • Constant repetitive motions required for operating a computer, such as typing and managing phone calls.
  • Constantly communicating effectively verbally in English, including accurately exchanging information with others following identification of correct procedures.
