We are looking for an Executive Assistant and Operations Manager to work closely with the Founder of a rapidly growing E-Commerce company. This is not your traditional EA roleyou’ll be a trusted partner, enabling the Founder to focus on strategic growth while you keep the business running smoothly

Work Hours: 20-40 hours/week (part-time and can transition into full-time); EU working hours
Work Set-Up: Remote (PH-based); Independent Contractor
Salary: $800-$1600

Role Responsibilities:
  • Own and manage the email inbox, priorities, and daily action items to ensure nothing falls through the cracks
  • Translate ideas, meetings, and messages into clear tasks, timelines, and follow-ups
  • Keep projects and team workflows moving forward through structure, accountability, and consistent execution
  • Build, maintain, and optimize internal systems across Notion, Google Drive, and Slack, including SOPs, documentation, and workflows
  • Identify inefficiencies and proactively recommend and implement operational improvements
  • Provide personal and administrative support, including calendar management, scheduling, and travel planning
  • Overall, you create clarity, structure, and momentum so that the CEO can stay focused on strategy, decision-making, and growth.
Role Requirements:
  • 5+ years of experience as an Executive Assistant or Operations Manager supporting an e-commerce founder or CEO
  • Proven expertise in operations and project management, including building systems and automations from the ground up
  • Exceptionally proactive, structured, and solution-oriented; you create order out of complexity
  • Excellent written communication and follow-through. You independently summarize discussions, document decisions, and close loops, including managing my email inbox and drafting responses ready for approval and sending during daily syncs
  • Confident decision-maker with strong judgment, knowing when to act independently and when to escalate
  • Advanced proficiency in Google Sheets, including dashboards, reporting, and automation
  • Hands-on experience with Loom, Slack, and modern project management tools
  • Fluent in written and spoken English
  • Strong capabilities in travel planning and logistics management for both business and personal needs

Nice to Have: 

  • Familiarity with AI-powered productivity tools (e.g., Superhuman, Akiflow, Raycast)
  • Experience with Shopify and/or online marketplaces (Amazon, Bol.com)
  • Exposure to financial coordination, including expense tracking and reporting
  • Experience supporting affiliate, influencer, or B2B partnership
