Why does this role exist?
The client needs a senior, AI-savvy project lead who will diagnose operational inefficiencies and implement AI/tooling to dramatically increase speed and quality. This role owns priority projects end-to-end, coordinates closely with the principals (Christine and Charles), and ensures reliable 24-hour handoffs between Eastern and Philippine time zones. The aim is to replace fragmented workflows and “yes-person” execution with proactive leadership, automation, and measurable impact.

The Impact you’ll make

AI Operations Diagnosis & Automation
  • Audit existing workflows, identify bottlenecks, and recommend AI/tool solutions.
  • Build and maintain automations (including n8n) and necessary integrations.
  • Pilot, measure, and iterate on AI interventions to deliver time savings and quality gains.

Project Ownership & Delivery
  • Define scope, milestones, timelines, and success criteria; manage cross-functional initiatives end-to-end.
  • Run stand-ups/check-ins; track risks and dependencies; ensure on-time delivery.
  • Produce and maintain clear SOPs, documentation, and dashboards for visibility.

Cross-Time-Zone Coordination & Handoffs
  • Create and enforce a 24-hour handoff playbook and SLAs between Philippine and Eastern time teams.
  • Ensure clear daily summaries, next actions, and owner accountability.
  • Provide administrative backups as needed (travel, meeting prep, decks, scheduling).

Vendor & Stakeholder Management
  • Coordinate with existing vendors (e.g., high-end LinkedIn specialist), align on objectives, and ensure timely execution.
  • Translate strategy into tasks and automations; QA deliverables and close gaps.
  • Train/enable internal team members and vendors on updated processes and tools.

Executive Partnership
  • Work hand-in-hand with Christine and Charles as a proactive, assertive strategic partner.
  • Prepare materials for meetings, manage calendars/invites, and ensure email-first communication cadence.
  • Surface risks early, propose solutions, and push projects forward decisively.

Skills, Knowledge and Expertise

Required:
  • Proven experience using AI as a specialist specifically within Project Management (designing, implementing, and operationalizing AI-enabled workflows).
  • Hands-on automation experience, including n8n familiarity and integrations across common business tools (email, calendar, CRM, LinkedIn).
  • Senior-level project management owning cross-functional initiatives end-to-end with measurable outcomes.
  • Experience collaborating with U.S.-based executives and working Eastern Time hours.
  • Exceptional communication and an assertive, proactive approach
  • WFH Set-Up:
    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
    • Internet speed of at least 40MBPS
    • Headset with an extended mic that has noise cancellation and a webcam
    • Back-up computer and internet connection
    • Quiet, dedicated workspace at home

Work Setup:
  • Remote position

Working Hours:
  • 40 hours per week
  • Monday - Friday: 9:00 am - 5:00 pm (Eastern Time)
Compensation:
  • $7 per hour
  • No benefits package included
