About the Role

We are seeking an Office Administrative Assistant to be a part of a new plant start-up based in Port Colborne, Ontario.   This position will be responsible for providing general office administration – data entry, document support, catering, call management, event planning and other duties as assigned. This position is a new role.

This position is directly reported to the Administration Manager.

Essential Duties and Responsibilities

  • General office administration – data entry, document support, catering, call management, event planning and other duties as assigned. 

  • Manage office systems, ordering supplies, and mailing functions such as order pickup and delivery arrangements to maintain an efficient and professional working environment.

  • Coordinate leadership meetings, company town halls, board meetings, and internal gatherings both in-office and off-site.

  • Support planning and logistics related to company initiatives, partnerships, and strategic projects.

  • Assist with preparing internal updates, presentations, and company communications.

  • Assist with Visitor Management – visitor relations and scheduling, hotel and car reservations, identification and parking management and set up of meeting environment. 

  • Serve as a professional point of contact for clients, partners, and industry stakeholders.

  • Coordinate meetings and communications with key external contacts.

  • Assist in preparing presentations when required.

  • Organize and maintain executive records, documents, and files.

  • Maintain strict confidentiality regarding company strategy, financial information, and personnel matters.

Qualifications

Education Background:

  • Completion of Secondary education program.

  • Completion of Post Secondary education program is preferred.

Knowledge & Experience

  • 3+ years’ experience in a corporate office setting. Experience with a start-up an asset.

  • Valid Driver’s License.

Additional Information

Expected Compensation:

  • Salary based position with a range of $50,000.00 to $60,000.00 based on education and experience.

Travel:

  • Must hold a valid Passport and willing to travel up to 5% domestically and abroad for training and visiting other company locations.

Schedule:

  • Full-time 100% in-person position.

  • Typical work hours are Monday to Friday, with flexibility to address urgent issues as needed 24/7. Attendance at meetings and trainings on off shifts may also be required periodically with flexibility to adjust schedule to meet  regular working hours as needed.

Working Environment

This position will be based in a temporary office at Niagara College until July 2026 when the Administration Team will move to a temporary structure on the site. The team will remain in the temporary structure until the permanent office is built in 2027. The final work environment will be at a 24/7 manufacturing operation.  This position is in support of manufacturing and requires working in a production environment around chemicals. The manufacturing facility will be a state of the art in terms of automation and being temperature and humidity controlled.  This will be a clean and comfortable environment due to the nature of the products being produced.
