What You Will Do

  • Write correspondence for executive suite and Sr. Project Managers, maintain calendar and email of same.
  • Route and file project documents received from customers or vendors according to company standards.
  • Author job tracking worksheets for division project managers.
  • Standardize and refine in house project correspondence such as Submittals/Tracking, RFI’s, Transmittals, incoming and outgoing correspondence.
  • Coordinate new projects with the project managers.
  • Issue project close-out documentation, including warranty letter and panel schedules for completed construction projects.
  • When an ITB is received download and put in estimate folder in S drive required bid material (drawings, specifications, forms, etc.) from document exchange sites (Building Connected, iSqft., etc.).
  • Download into the project/estimate folder any new information, bulletins, addendums, etc. that is received during the duration of the project.
  • Pull estimate number from estimate/bid log for ITBs as needed.
  • Set up estimate file folders on Shared (S:) drive. 
  • Print or Post drawings as required to be collected by PM.
  • Estimating/Electrical counts for bids
  • Preparation and delivery of Project Closeout Documents (O & M Manuals and Field As-Builts)
  • Email correspondence to suppliers and customers
  • Maintain and assemble correspondence project files.
  • Utilize Microsoft Word, Excel and Bluebeam on a daily basis.
  • Maintain records (electronic and paper)
  • Set up estimate and project files electronically.
  • Knowledge of Electronic Bidding Software is a plus.
  • Learn the Titan Electric processes, procedures, and Project Management Tools like eCMS.
