Job Summary

Assists with the daily operation of the office which includes answering phone calls, assisting guests and visitors with inquiries, data entry, and other clerical functions.  Assists with operational functions such as processing of purchase requisitions, fiscal filing, ordering of classroom and/or office supplies, coordinating meeting reservations, and mass mailing projects.  

Essential Responsibilities

  • Provides clerical support to include copying, distribution, data entry, compiling, and filing of various materials/documents.
  • Ensures required department documents are accurately completed.
  • Performs a variety of office functions to include but not limited to: greeting and directing walk-in visitors, answering/routing telephone calls, maintaining a variety of files, and answers general inquiries.
  • Types memos and general correspondence.
  • May coordinate ordering of classroom and/or office supplies.
  • May assist in coordinating and scheduling meetings.
  • May maintain accountability list for event attendance and use of department equipment/supplies to include but not limited to vehicles, laptops, and other electronic equipment.

Position Requirements

Minimum Qualifications - An equivalent combination of education and experience may substitute for the requirements listed.

  • High School Diploma or GED
  • Minimum 1 year of experience in a directly related field.
  • Excellent clerical skills to include typing, faxing, copying, filing, organizing and phone etiquette.
  • Excellent oral and written communication skills.
  • Excellent interpersonal skills to work effectively as a team in an office setting.
  • Working knowledge of microcomputers and software including word processing, databases, and spreadsheets.
  • Must be able to manage, prioritize and complete assignments with frequent interruptions.
  • Must be able to exercise sound judgment in a crisis situation. 
  • The ability to handle sensitive and confidential information.

Preferred Qualifications

  • Associate’s Degree
  • Work experience in a school setting
  • Familiarity with Kamehameha Schools’ mission and vision.
  • Knowledge and sensitivity to Hawaiian culture and Christian values.

Physical Requirements

  • Frequently sit, perform desk based computer tasks and grasp light/fine manipulation.
  • Occasionally stand/walk, write by hand, and lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel, crawl, climb, reach/work about shoulder, grasp forcefully.

Working Conditions

  • This position may involve traveling to various locations, including neighbor islands to conduct business.
  • Work is conducted in an office/school environment and may require work to be conducted in non-standard workplaces.
  • Work is typically conducted Monday through Friday at normal business hours but evening and weekend hours are often required to meet goals and objectives.
