The Seasonal - Permitting Assistant is responsible for processing and tracking the status of each permit while supplying whatever the city or local municipalities require. They report directly to our Permit Manager and support them with all requests. You play a key role in ensuring the Permit team is efficient, productive, and performs their work on time while monitoring cost control, ensuring customer satisfaction, and obtaining approvals as much as possible. In essence, you support our company by ensuring that services requiring permits receive on-time inspections while tracking those that need follow-up action to get them approved. 

The permitting assistant maintains the administration of the Permit department while providing strategic support to the permit technicians, department assistants, dispatch, and our Account Managers. 

 

ESSENTIAL FUNCTIONS - HIGHLIGHTS 

  • Run daily reports for permits needed 
  • Pull permits daily for all trades (Electrical, Plumbing, HVAC) 
  • Update spreadsheet, as needed, with Customer Info, Permit #, Permit Cost, Work Order #...etc 
  • Coordinate schedule with Permit Runner 
  • Coordinate inspections with the customers via email or phone calls 
  • Update spreadsheet with passed permit info 
  • Track all charges for the permitting Department daily on a spreadsheet for accounting and credit card reconciliation purposes. 
  • If inspection has failed, coordinate with the Department Manager & Dispatch to go back to correct the issues 
  • Get Final Passed paperwork from Permit Runner the same day
