We are seeking an experienced Commercial Property Manager to oversee the comprehensive day-to-day operations of a retail mall property. The successful candidate will be responsible for maximizing asset performance through effective lease management, operational oversight, financial management, and stakeholder coordination while ensuring optimal tenant satisfaction and property performance.

Key Responsibilities

Operational Management

  • Oversee daily mall operations including security, cleaning, maintenance, and utilities management.
  • Coordinate and supervise facilities management (FM) and Total Facilities Management (TFM) contractors and service providers, ensuring adherence to KPIs and SLAs.
  • Manage parking operations, systems, and customer experience, including allocation strategies.
  • Ensure full compliance with Health, Safety, and Environment (HSE) requirements and all regulatory standards.
  • Handle emergency response coordination, develop a comprehensive Security Management Plan (SMP), and lead Business Continuity Planning (BCP).
  • Implement and manage strategies for waste collection, logistics, and deliveries within the property.
  • Conduct regular building inspections to address and resolve HSE issues related to access, fixtures, safety systems, and common areas.
  • Oversee the management and maintenance of communal facilities
  • Verify and manage the Planned Preventive Maintenance (PPM) schedule to minimize disruption and ensure asset longevity.
  • Lease and Tenant Management
  • Manage the full lifecycle of lease administration, including renewals, negotiations, and variations.
  • Oversee tenant fit-out processes, from design approval to final inspection, ensuring compliance with mall standards.
  • Coordinate tenant move-ins, relocations, and exits smoothly and efficiently.
  • Maintain strong tenant relationships through regular communication, meetings, and dedicated support.
  • Act as the primary point of contact for tenant queries, complaints, and conflict resolution.
  • Ensure strict lease compliance, apply fees or violations as needed, and monitor tenant trading performance to identify risks and opportunities.
  • Maintain an accurate and up-to-date tenant database, including all contacts, documents, and correspondence.

Financial Management

  • Manage the property's P&L, focusing on revenue optimization and effective cost control.
  • Oversee rent and service charge collection, arrears management, and service charge reconciliation.
  • Prepare, manage, and report on annual OPEX and CAPEX budgets and financial forecasts.
  • Monitor and analyze financial performance against targets, providing variance analysis and recommendations.
  • Coordinate with accounting teams on all aspects of financial reporting, invoicing, and payments.
  • Oversee the procurement strategy for all operational and capital expenditures.

Client and Stakeholder Management

  • Provide regular, comprehensive reporting to property owners/clients on all performance metrics.
  • Manage relationships with internal teams, external consultants, contractors, and TFM service providers.
  • Coordinate closely with legal, marketing, and leasing teams to ensure integrated property strategy.
  • Present at client meetings, providing strategic recommendations for asset enhancement.
  • Liaise with local authorities and advise clients on changes to legislation that may impact property operations.
  • Marketing and Activation Support
  • Collaborate on the development and execution of mall marketing initiatives and promotional campaigns.
  • Coordinate and manage events, activations, and seasonal programs to drive footfall and tenant sales.
  • Support digital marketing efforts and the management of the mall's social media presence.
  • Manage common area decorations, ambiance, and branding to enhance the customer experience.
  • Analyze the effectiveness of marketing campaigns and provide feedback for future initiatives.

Administrative and Reporting

  • Maintain accurate property records, databases, and critical documentation, including governance documents and operational plans.
  • Prepare comprehensive weekly, monthly, quarterly, and annual management reports for stakeholders.
  • Ensure adequate insurance coverage is in place and manage any claims.
  • Handle contract management and the procurement process for vendors and service providers.
  • Ensure the accuracy and effective use of property management systems such as CRM, CAFM, and BMS.

Required Qualifications

  • Education & Experience
  • Bachelor's degree in Business Administration, Real Estate, Property Management, or related field
  • Minimum 5-7 years of commercial property management experience, preferably in retail/mall environments
  • Strong understanding of lease structures, retail operations, and UAE property law
  • Proven financial management and P&L responsibility experience
  • Excellent communication, negotiation, and relationship management skills
  • Proficiency in property management software and Microsoft Office Suite
  • Strong analytical and problem-solving abilities
  • Ability to work independently while managing multiple stakeholders
  • Preferred Qualifications
  • Professional certifications in property management (RICS, CPM, etc.)
  • Experience with marketing, events, and activation management
  • Knowledge of retail market trends and consumer behavior
