Job Description: Front Office Executive
Scope & Objective :
A professional and personable Front Office Executive to join our Property Management team. This is an exciting opportunity to work with a global leader in commercial real estate, where you'll play a vital role in creating positive first impressions and ensuring smooth daily operations at our managed properties.
As a Front Office Executive, you'll be the first point of contact for visitors, tenants, and clients, providing outstanding customer service while managing a variety of administrative and operational tasks. You'll work in a dynamic environment where your organizational skills, attention to detail, and commitment to service excellence will directly contribute to the success of our property management operations.
Required Qualifications
Education: Bachelor's degree or equivalent qualification
Experience: 1-3 years of experience in front office operations, reception, or customer service roles, preferably in commercial real estate, hospitality, or corporate environments
Communication Skills: Excellent verbal and written communication skills in English; proficiency in local languages is an advantage
Technical Skills: Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with property management systems or visitor management software
Customer Service Orientation: Demonstrated ability to provide professional, courteous service to diverse stakeholders
Organizational Skills: Strong multitasking abilities with attention to detail and ability to prioritize tasks effectively
Professional Presentation: Well-groomed appearance and professional demeanor suitable for a corporate environment
Availability: Flexibility to work in shifts if required, including occasional weekends or extended hours during peak periods
Preferred Qualifications
Experience in commercial property management or corporate office environments
Knowledge of health and safety protocols and building management procedures
Familiarity with visitor management systems and access control technologies
Previous experience handling administrative tasks such as mail distribution, courier coordination, and vendor management
Understanding of basic facilities management concepts
Certification in customer service or hospitality management
Ability to handle emergency situations calmly and follow established protocols
Key Responsibilities
Reception and Visitor Management: Greet and assist all visitors, tenants, and clients in a professional and friendly manner; manage visitor registration, issue access passes, and maintain visitor logs
Communication Hub: Answer and direct phone calls, emails, and inquiries promptly and accurately; maintain effective communication between tenants, building management, and service providers
Administrative Support: Perform various administrative tasks including mail and courier management, meeting room bookings, maintenance of records, and preparation of reports
Tenant Services: Respond to tenant requests and concerns efficiently; coordinate with property management and facilities teams to ensure timely resolution of issues
Building Operations Support: Assist in monitoring building access and security; support implementation of health and safety protocols; coordinate with vendors and service providers
Documentation and Reporting: Maintain accurate records of daily activities, visitor logs, incident reports, and other documentation as required; prepare regular reports for property management
Emergency Response: Act as a first point of contact during emergencies; follow established protocols and coordinate with security and emergency services as needed
