The Property Administrator position provides first-class property management services and assists the Property Management team with day-to-day responsibilities including accounts receivable & accounts payable, office administration, customer service, developing and maintaining strong working relationships with the tenants, ensuring that tenant issues and needs are responded to and resolved by the appropriate individual, department, or service.

Essential Responsibilities:

Tenant Relations & Customer Service

  • Serve as the primary liaison between tenants and the Property Management team.
  • Respond promptly to tenant inquiries and coordinate service requests to ensure issues are resolved efficiently.
  • Conduct regular tenant check-ins and organize annual meetings to gather feedback and strengthen relationships.
  • Maintain and update tenant contact lists, welcome packages, and tenant handbooks.
  • Assist with community outreach programs, tenant recognition initiatives, and wellness partnerships.

Event Planning & Marketing

  • Plan, coordinate, and execute tenant events, including ideation, budgeting, logistics, and post-event reporting.
  • Create promotional materials such as flyers, newsletters, and social media posts using platforms like Canva and Mailchimp.
  • Manage property communication tools, ensuring updates to the property website, Angus portal, and event calendars.

Administrative & Office Operations

  • Welcome visitors to the management office and address inquiries professionally.
  • Monitor and order office supplies and coordinate repairs of office equipment.
  • Maintain tenant certificates of insurance, contracts, and property documentation for Central FL market
  • Support the Property Manager, General Manager, and Chief Engineer with administrative tasks as needed.

Accounting & Financial Support

  • Process invoices in Nexus for Research Park properties, ensuring accurate budget coding and timely payments.
  • Track and bill tenant work orders and prepare miscellaneous charge statements.
  • Follow up with tenants regarding unpaid rent or outstanding balances.
  • Assist with financial record-keeping and reporting related to property operations and events.

Qualifications

  • Bachelor’s degree preferred; High School Diploma required.
  • 1–3 years of experience in property management, marketing, or customer service.
  • Proficiency in Microsoft Office Suite, Excel, PowerPoint, and property management systems such as Angus and Nexus.
  • Experience with social media marketing and tools like Mailchimp and Canva.
  • Strong organizational and time management skills with the ability to multitask.
