When We All Vote is seeking a Talent, Entertainment, and Sports Engagement Coordinator to support the Talent, Entertainment, and Sports Engagement program during the 2026 midterm election cycle. The ideal candidate is a self-starter who is detail-oriented, impact-driven, and has a deep understanding of popular culture. This individual should have experience supporting partnerships and/or celebrity and influencer engagement, tracking and documenting relationships, and managing multiple priorities with a positive, professional attitude.

This is a short-term, temporary role concluding November 23, 2026.

When We All Vote is a national, nonpartisan initiative where young people — especially Black and Brown voters ages 18–34 — not only participate in our democracy, but shape it. We are on a mission to increase participation in every election, close the race and age voting gaps, and change the culture around voting. Founded by Michelle Obama, When We All Vote works at the intersection of voting and culture to meet communities where they are to turn civic engagement into an everyday norm. YOUR IMPACT

  • Support administrative operations, engagement follow-up, and project management for When We All Vote’s Talent, Entertainment, and Sports Engagement program. 
  • Maintain trackers for follow-ups, partnerships, and talent/partner commitments; manage talent and partner voter registration portal MOUs and agreements; and coordinate closely with the Associate Director of Talent, Entertainment, and Sports Engagement on upcoming needs. 
  • Support scheduling and cross-team communications. Take meeting notes and draft follow-up for talent, sports, and entertainment partners, including identifying new and existing opportunities for engagement. 
  • Coordinate with appropriate teams to ensure we share high-quality deliverables with talent and partners.
  • Support research and development of contact lists and background information for prospective talent and sports partnerships to inform outreach, follow-up, and onboarding efforts. 
  • Assist in coordination and support for on-the-ground talent logistics for activations and events, including travel arrangements, talent briefing memos, staffing, and real-time communication to ensure seamless execution and a positive talent experience.
  • Assist with administrative tasks, including scheduling, drafting emails, and providing project management support for talent requests. Work closely with the Associate Director of Talent, Entertainment, and Sports Engagement to prioritize and execute requests effectively.
  • Track talent online and in-person engagements in real-time. 
  • Willingness and comfort with traveling up to 20-25% of the time. 
  • Other reasonable and related duties as assigned. 

YOUR EXPERIENCE

  • 1+ years of experience supporting outreach or partnerships in nonprofit, agency, corporation, or government, or similar fast-paced environments.
  • Demonstrated experience providing administrative and logistical support in nonprofit, agency, corporation, or government , or similar fast-paced environments.
  • Experience in entertainment, sports, or a talent agency is a plus. 
  • Proficiency in the Google Suite.
  • Prior experience with CRMs like HubSpot is a plus.

SALARY & BENEFITS

The salary range for this position is $61,000-$63,000 (will be adjusted for cost of labor for the candidate's work location) annually, commensurate with experience.
