Overview

Black Canyon Consulting (BCC) is searching for a Program Support Coordinator that will provide administrative, coordination and reporting support across the division. Working with multidisciplinary teams in the USCD and with external grantees and contractors, the coordinator will help manage the Network of the National Library of Medicine (NNLM) program and provide administrative oversight of USCD staff and contractor requests.

This is a full–time position based in Bethesda, MD, on-site presence is required.

Duties & Responsibilities:
  • Collect and report metrics from NNLM grantees and sub-awardees. Maintain dashboards, reports and other analysis tools to ensure timely dissemination of program data.
  • Schedule and coordinate virtual and in‑person meetings and workshops; prepare and distribute agendas and minutes; contribute information to USCD knowledge‑management systems.
  • Provide technical assistance and communications support for NNLM grantees, acting as a liaison between grantees and the USCD Extramural Programs.
  • Contribute to data, reporting and evaluation efforts by exploring new technologies or methods to automate data collection and improve efficiency.
  • Coordinate the collection, management and reporting of data related to property management, acquisitions processing and IT requests for USCD staff and contractors. Maintain tracking systems and recommend process improvements.
  • Respond to USCD staff and contractors’ requests in a timely manner, providing status updates and confirming completion of requests.
  • Collaborate with other NLM divisions to deliver services, follow up on outstanding issues, and ensure problem resolution.
  • Prepare forms, tables, presentations and other administrative documents; assist with drafting orientation materials to onboard new NNLM institutions.
  • Track milestones and achievements for projects; gather qualitative and quantitative data using Microsoft Office and other database applications; enter and extract data to support evaluation and reporting.
  • Provide general administrative support, including processing calls and emails, maintaining correspondence and files, assisting managers with scheduling, taking and disseminating meeting minutes, and other duties as assigned.

Required qualifications:

  • At least five (5) years of experience providing general administrative support in a program‑coordination or office‑management setting.
  • Demonstrated ability to schedule appointments, process calls and emails, maintain correspondence and files, and prepare documents using Microsoft Office applications.
  • Experience tracking project milestones and preparing reports based on qualitative and quantitative data.
  • Ability to work independently and with minimal supervision, while collaborating effectively within multidisciplinary teams and across complex organizations.
  • Familiarity with data collection tools and experience entering/extracting data from Excel or similar databases.
  • Strong organizational, communication and problem‑solving skills.
