Job Overview:

We are seeking a highly proactive, detail-oriented Executive Assistant & Office Manager to serve as a strategic partner to our CEO while also supporting the broader Executive Leadership Team (ELT). In addition to executive support, this individual will oversee day-to-day operations of our Irvine office and play a key role in shaping and executing company culture initiatives. This includes planning and delivering high-impact employee experiences such as our annual Summer and Winter in-person events, as well as ongoing virtual engagement activities.

Duties and Responsibilities:

Executive & Leadership Support

  • Serve as a trusted partner to the CEO, managing complex calendars, travel, communications, and priorities
  • Support ELT members as needed with scheduling, meeting coordination, and special projects
  • Prepare agendas, track action items, and ensure follow-through on key initiatives
  • Coordinate executive meetings and offsites, company Town Halls, and Board-related logistics

Office Management (Irvine, CA)

  • Oversee daily operations of the Irvine office, ensuring a welcoming, organized, and high-functioning environment
  • Manage vendors, supplies, office services, and facilities needs
  • Support employee experience in-office, including meals, events, and general workplace operations

Culture & Events

  • Lead planning and execution of company-wide culture initiatives in partnership with the CEO and Chief People Officer
  • Own two major annual in-person events for U.S. employees (Summer Session in July and Winter Session in December)
  • Plan and execute additional virtual and in-person team-building activities throughout the year (March Madness, Fantasy Football, companywide Steps Challenge, etc.)
  • Coordinate logistics including travel, vendors, budgets, communications, and on-site execution

  • 4+ years of experience as an Executive Assistant or in a similar high-level support role

Estimated Salary Range: $85,000 - $110,000 annual salary

The salary range listed is our best estimate based on the role's requirements and market conditions. The final offer may be higher or lower depending on the candidate's experience and qualifications.
